Zoho Sign offers powerful insights from envelopes, recipients, senders, folders, document type, helping you understand the envelope signing process, response time, and learn what works for you and how your organization members operate..

You can filter reports across multiple options such as document status (in-progress, recalled, completed, declined,or expired), document type, document validity, and activity history. You can access reports to:
  1. Audit your document and organization workflows
  2. Ensure transparency across all signing activities
  3. Create audit trail for internal and external reviews 

How to access the reports page?

  1. From your Zoho Sign dashboard, click Reports on the left navigation pane.
  2. Select the required report category.

Report categories and uses

  1. All - Provides a consolidated, organization level view of all documents.
    Use this view when you need to:
    1. View the status of all documents sent from your account
    2. Filter by document type, folder, document status, and date.
  1. Senders - Monitor the documents and their status sent by each user in your organization
    Use this view when you need to:
    1. Monitor sender level documents
    2. Track which department or individual initiates the most requests
  1. Recipients - Shows the time taken by each recipient to complete the signing action and also the overall time take to execute an agreement or document.
    Use this when you need to:
    1. Identify delays in an agreement execution
    2. Evaluate signer's response time
  1. Scheduled - Displays the list and status of all exported reports.
    Use this when you need to:
    1. Track the progress of an exported report

In addition to categorizing, reports can be generated for certain time periods in a password-protected PDF/CSV format.




How to view reports based on duration?

By default, all reports are generated based on the last 7 days. However, this parameter can be adjusted so that reports can be generated on a weekly or monthly basis, or even between two specific dates, depending on the user's preference.

In addition to filtering by category, reports can also be generated for specific time-periods and exported in the CSV format. To view reports customized by duration:
  1. Select the report category you want to view from the Reports dropdown on the left navigation panel.  
  2. Click Filter.
  3. Click Date.
  4. Click the duration dropdown in the top-right corner.
  5. Select the required timeframe from the dropdown (last 7 days, last 30 days, or custom date) to generate the report.
  6. If you'd like to select a custom date from the dropdown menu, enter the date range in the custom date dialog box.
  7. Click Apply.


How to view the reports of in-progress documents?

This section will helps users to track the status of documents in progress specifically.
  1. From your Zoho Sign dashboard, click Reports on the left navigation pane.
  2. Select Senders or All.
  3. Click Filter.
  4. Select Custom date and choose your desired date range.
  5. Click Apply.


How to generate user level reports?

This section will help administrators to track the status of document activities carried out by the users in their organization.
  1. From your Zoho Sign dashboard, click Reports on the left navigation pane.
  2. Select Senders.
  3. Click Filter.
  4. Select User list and choose your desired users.
  5. Click Apply.

How can you export your reports?

You can generate and download up to 5000 records as a password protected CSV or PDF file. If downloaded as a CSV file, the CSV file will be wrapped inside a ZIP, and the ZIP will be password protected. 

To download a report:
  1. Select the report category you want to download from the Reports dropdown on the left navigation panel.
  2. Click the Export as in the top-right corner and then select CSV or PDF.


Activity log

Track all changes done at organization level. You can filter by - documents, document types, folders, account, templates, SignForms, users, contacts, branding, and custom fields.


Failed access attempt

Monitor number of times invalid attempt to access the document was done. 


Document validity

Track the validity of the documents sent for signature.
