What is Autofill and sign?
The Autofill and sign feature automatically fills profile details—such as the signature, initials, email, stamp, full name, company, and job title—into a document's corresponding fields. Once enabled, it allows you to detect and fill your pre-saved profile fields for instant document signing.
For example, an HR manager in a global IT firm may need to review and sign multiple onboarding documents, each with several signature fields to be filled manually. This can be time-consuming and tedious. By using Zoho Sign's Autofill and sign feature, the overall process becomes more efficient, thereby reducing onboarding time and improving the employee experience.
How to enable Autofill and sign in Zoho Sign
Only administrators can perform this action.
- From your Zoho Sign dashboard, hover over Settings and click Account Settings.
- Click Recipient Experience and then navigate to Recipient actions.
- Check the box next to Autofill and sign.
- Click Save.


The Autofill and sign option will not appear under
More actions when both of these are true:
1. The recipient's profile has no pre-saved data.
2. The document does not contain any signature or initial fields. However, if the document does have signature or initial fields, the option will appear, even if the recipient's profile has no pre-saved data. In that case, they will be prompted to enter them once, and it will autofill across all the matching fields.
Autofill and sign a document as a recipient
- Open the signature request to view the document.
- Click More actions in the top-right corner and select Autofill and sign.
- The system will prompt you to set up your profile fields. Add your signature and initial, acknowledge the terms, and click Save. If these details are already configured, the fields will be filled automatically and the document will be finalized.
- If there are any remaining non-profile fields, fill them out and click Finish.
Common questions
- Can Autofill and sign be enabled in all digital signatures and identity providers?
Yes, Autofill and sign can be enabled across all digital signature and identity providers. However, it cannot be used when the Controls for life sciences feature is enabled in Zoho Sign.
- Can I further edit an autofilled field?
If the signing process is completed using only Zoho Sign, clicking Autofill and sign will immediately finalize the document. However, if the document contains non-profile fields that require manual input, you will be able to edit the autofilled signature and initial field.
- Does the Autofill and sign feature work across multiple documents?
Yes. If the same profile field appears across multiple documents, it can be auto-filled simultaneously.
- Does Autofill and sign work with custom fields?
Yes, Autofill and sign works when a custom field is configured as one of the profile fields (signature, initials, email, stamp, full name, company, job title).
- How does Autofill and sign work with conditional fields?
If the sender has added conditional workflows to the document—especially for profile fields—the Autofill and sign option will only work once the condition for that specific field is met.
For instance, in a vendor agreement where the recipient must first agree to the partnership's terms and conditions, the signature field appears only after that condition is met. In this case, Autofill and sign becomes available only after the recipient agrees to the terms.
