View backlog items on sheet

A spreadsheet is a great asset when it comes to viewing, maintaining, and processing data to get comprehensive results.

Sheet View in Zoho Sprints is a capability that enables you to open the work items that are in the backlog, board, epic, and release in the form of a spreadsheet. Based on the permissions defined, users can simply view or view and edit the data in the sheet. The changes that are saved to the sheet will reflect in the backlog, board, epic, release, or users modules based on the nature of the update. 


Sheet view is available for users module. You can view the user details on a spreadsheet and update the custom fields. However, adding new users to the sheet is not supported.

Benefits

  1. View work items or team users in a spreadsheet. This gives a comprehensive view of the data in your backlog or users module.
  2. Add or update work items in bulk (User details in users module can only be updated.). This greatly reduces the effort taken to update multiple work items. Up to 50 records can be updated at a time.

View items in spreadsheet

To view items in spreadsheet from project backlog:
  1. Select the required Project.
  2. Navigate to the Project Backlog.
  3. Click the view dropdown at the top.
  4. Select Sprint.
  5. Select Sheet View option. The work items will appear on a spreadsheet.
    1. Read-only mode: You will only be able to view the work items on the sheet.
    2. Read & Write mode: You will be able to view and edit the work items on the sheet. 

Add or update items

To add or update items using spreadsheet:
  1. Select Sheet View option for the backlog. The work items will appear on a spreadsheet.
  2. Enter appropriate field values in the row available after the last record to add new items or edit existing field values to update them.
  3. Click the Save button. The changes will be updated to the respective Backlog, Board, Release or Epic work items.

Points to remember

  1. You need to click the Save button to ensure the changes made to the sheet are reflected in the work items in Sprints.
  2. You need to save changes made to a sheet frequently. The Save and Proceed pop-up will appear at regular intervals to ensure that the data is saved.
  3. You will not be able to add new columns to the sheet.
  4. You can add up to 10 new records (work items) in the sheet. These records need to be added in the rows that are consecutive to the last row with data. The rows up to which you can add records will be highlighted. Records added beyond the highlighted row will not be saved.
  5. You will not be able to delete any rows in sheet view. This also implies that you will not be able to delete any records.
  6. Updates made to the data that is available already and up to the limit of 10 rows after the last record (highlighted rows) will only be synced to the work items in Sprints.

Feature behavior

  1. The records in sheet view will reflect the order of the work items in the Sprints.
  2. Up to 50 records can be updated without saving the sheet.
  3. When sheet view is accessed with the filter applied to the work items, only those items that are displayed in Sprints will appear on the sheet.
  4. Permission to edit or update fields is based on the profiles and permissions of the user accessing the sheet.
  5. The module from which the sheet is accessed will not be available for updating. For example, if you access sheet view from the Epic module, the sheet will not have the Epic field and therefore that specification cannot be updated.
  6. If you add new records in the sheet view of the Epic or Release module, the item will be added to the Backlog of the Project and then associated with the respective Epic or Release.
  7. You cannot save formatting conditions to the Sprint.
  8. Apart from the existing records and the newly added records up to the allowed limit, the other rows, columns, or sheets will not be saved.
  9. An opened sheet will expire after six hours. You need to close it and open a new sheet to proceed. If there are unsaved changes beyond the specified time, those changes cannot be retrieved in the new sheet and the changes will not be saved to Sprints.
  10. Only the team owner and users in default admin profile will have permission to download the sheet as file.
  11. Sheet will open in read-only mode for the following:
    1. Completed sprints report
    2. Archive folder in projects
    3. Project users tab
    4. Archive folder in epics
    5. Completed stage releases

Limitations

  1. The sheet view will not be available in the following case:
    1. Client/vendor user access
    2. Custom domains
  2. Users can duplicate the sheet to work with data. However, only the changes in the main sheet will reflect in Zoho Sprints. The duplicate sheet will no longer remain if the current sheet view is closed.
