Layout Rules

Layout rules are a solution to your various requirements for customizing your item layout based on specific conditions. They enable you to automate the behavior of the fields in your layout, which in turn provides a higher level of accuracy to your data gathering process.
 
Apply conditions to the fields in the layout and associate them to trigger actions to define their behavior. The conditions allow the layout and the fields to adapt to a particular requirement.
 
Defining layout rules entails:
  1. Selecting the primary field on which the rule must be applied
  2. Specifying the condition that must be satisfied for the rule to be executed
  3. Selecting the trigger actions that result in the expected behavior of the field in the layout

Trigger actions

Below actions can be triggered for the conditions set in the layout rules:
  1. Show fields: Select specific fields to be displayed in the layout only if the condition matches.
  2. Hide fields: Hide certain fields from the layout only if the condition matches.
  3. Disable fields: Make the field read-only if the condition matches.
  4. Set mandatory fields: Set certain fields as mandatory to ensure that those data are available to complete the work item.
  5. Mark fields as non mandatory: Mark a mandatory field in the layout as non mandatory only if the condition matches.
  6. Show sections: Displays a section if the condition matches.
  7. Hide sections: Hides a section if the condition matches.
  8. Set field value: Adds value to the field if the condition matches.
  9. Set field and lock: Adds value to the field and locks it to protect from making any changes if the condition matches.
  10. Restrict pick list: Allow only selected pick list values to be displayed if the condition matches.

Example

A project owner would like an automation to carry out the below actions:
  1. Assign work items to users based on the item type.
  2. Show sections based on the item type.
  3. Update a field value and lock it based on the item type selected. 

They can use the Layout rules feature, where multiple conditions can be created with the primary field being Item type. Based on the item type chosen in the work item layout, the value will be dynamically updated in the form and the respective fields/ sections will be displayed.  
 
When the item type is Story, the story should be assigned to the project managers. You can create a condition using layout rules to assign the story to the respective users automatically.
 
When the item type is Task, the task should be assigned to the developers. The task section can be viewed for additional details. For this, you can create another condition and set the trigger action to assign the task to the respective users and to show the task section.
 
When the item type is Bug, the priority field should be updated as 'High' and the field should be locked, which will restrict users from making changes. Create a condition and set the trigger action to update the priority field and lock it. 

Feature behavior 

  1. Layout rules will be applied on create, edit, and view pages.
  2. Layout rules cannot be used on the following field types:
    1. Auto Number
    2. Lookup
    3. Rollup
    4. Formula
  3. Layout rules will not be applied for the records generated via import.
  4. Layout rules will not execute if records are created or edited via APIs.

Create layout rules   

  1. Click in the top-right corner to navigate to the Settings page.
  2. Navigate to Layout and Rules > Layout Rule.

  3. Click + Layout Rules in the top-right corner.
  4. Select a layout to create a layout rule, then click Proceed.
  5. Enter the Rule Name and Description.
  6. Choose the condition to initiate the rule. This will be the primary condition. The primary condition requires a Primary field and a value. For example, Status type is Open.

  7. Once the primary condition is set, click Proceed.
  8. Adding to the primary condition, you can add sub conditions if needed. For example, you want the assignee to be 'Monica' for this condition to be executed. Click Save after adding the sub condition.
  9. Select a trigger action for the condition.

  10. Once an action is set for a condition, you can create the next condition.
    Note: You cannot add another condition unless an action is set for the previous condition.  
  11. After creating the conditions, the layout rule will be saved automatically.

Apply a layout rule to work items  

The layout rule is associated with a layout. When the respective layout is associated with a project, the layout rule will be applied to the project and to all the work items added to it.
  1. Click in the top-right corner to navigate to the Settings page.
  2. Navigate to Layout and Rules > Custom Layouts.
  3. Hover over an existing layout and click + Associate Projects.
  4. Select a project to associate with the layout.
  5. Click Associate

Edit layout rule

  1. Click in the top-right corner to navigate to the Settings page.
  2. Navigate to Layout and Rules > Layout Rule.
  3. Hover over the layout rule and click Edit.
  4. Update the layout rule.
The changes will be saved automatically.

Enable or disable layout rule  

  1. Click in the top-right corner to navigate to the Settings page.
  2. Navigate to Layout and Rules > Layout Rule.
  3. Toggle the status button to enable or disable the layout rule.
By default, the layout rule will be in the enabled status upon creation.
