Zia Search

Zia Search is Zoho’s unified search tool that allows you to quickly find information across many Zoho applications. Zia Search supports Zoho Sprints, wherein you can carry out a search for an entity in the Zia Search tool, and it will fetch and display relevant results from across all your workspaces in one place. This makes it especially useful for users managing multiple workspaces, helping you save time and stay organized.

When you want to focus and view only the search results from Sprints, you need to select Zoho Sprints from the list of apps.
  1. Navigate to the left panel in the Zia Search tool.
  2. Select Search.
  3. Select Sprints from the All Apps section.
    Now, "#Sprints" will be added to the search bar so that the search is specific to Sprints. 

  4. You can carry out a search for the below-mentioned entities:
    1. Item title
    2. Item number
    3. Sprint name
    4. Release name
    5. Epic name
  5. You can also @mention users and the results will be fetched the Assignee field, Created by field and from the Comments section.

Search across Zoho

You can carry out search for Zoho Sprints entities using this Search across Zoho widget placed at the bottom right corner of the Zoho Products.
  1. Click the Search across Zoho icon at the bottom right corner. 

    The Zia Search tool will appear on screen.
  2. Select Zoho Sprints from the All Apps list.
  3. Search Zoho Sprints entities from this window.

Display fields in Search list

In the search results list view, you can view the below display fields.
  1. Item type icon
  2. Assignee
  3. Status
  4. Sprint
  5. Release
  6. End date
  7. Project name 

Alert
Please note that these display fields are system default fields and can't be customized.

Advanced Filter

Advanced filter section allows you to confine your search results to a specific workspace.
  1. Navigate to the search bar in the Zia Search tool.
  2. Click the filter icon.
  3. In the App field, Sprints will be prepopulated.
  4. In the Workspaces drop-down field, select a workspace from the list of workspaces.
  5. Click Apply. 


Your search results will now be specific to the workspace you have selected.
Notes
Note: Advanced filter supports all field types except Roll up and Lookup fields.

Reorder Workspaces

When you carry out a search in Zia Search, the search results will be grouped by Workspace, then sorted within the group. You can customize the order of the workspaces to be listed in the search results as per your comfort. For example, you would like the most important workspace results to be listed at the top, then you can drag and drop the respective workspace at the top of the list.

To reorder workspaces:
  1. Navigate to Zia Search.
  2. Click the more icon and then select Settings. 
  3. Select Sprints from the list of apps.
  4. Click Reorder Workspaces. 

  5. Drag and drop the workspaces in the required order.
  6. Click Save.

Sort Search Results

The search results will first be grouped by Workspaces, and then the sorting will happen within the workspaces. You can sort the entities to be listed in the workspaces based on Modified Time or Relevance.

To set the sort criteria:
  1. Navigate to Zia Search.
  2. Click the more icon and then select Settings. 
  3. Select Sprints from the list of apps.
  4. In Sort results by, select Modified Time or Relevance.
  5. If Modified Time is selected, the latest modified entity will be at the top of the list followed by the other entities in the ascending order.
  6. If Relevance is selected, the most relevant entity will be listed first followed by the rest. 


Your selection will be saved automatically.
  1. Navigate to Zia Search.
  2. Click the more icon and then select Settings. 
  3. Turn off the toggle switch beside Sprints.


Now, Zoho Sprints will be removed from the products list in Zia Search.

Notes
Note: Zoho Sprints will be enabled in Zia Search by default. In case you have disabled it, you can enable it again by following the same steps mentioned above.

Feature behaviour
  1. Item details page can only be viewed within the Zia Search tool. Editing of fields isn't supported.
  2. In Zia Search, you can view Details, Description, Comments, and Attachment sections.
  3. Search results will be fetched only from active workspaces.
  4. Search for users will only fetch active users from the workspaces.
