SharePoint is developed by Microsoft, popularly used for collaboration, document management, and for building internal websites. It works as a repository to store, organize and manage files and folders. This in-turn helps to share the files and folders within the teams securely. Creating Sites in SharePoint will allow their team members to communicate and collaborate efficiently.
By integration SharePoint with Zoho Sprints, the files related to the Zoho Sprints entities can be created or associated in SharePoint right from within the respective entities allowing the users to easily access them. SharePoint files can be created from projects, sprints, releases, epics and work items.
Users who use Office365 for managing their work related documents and Zoho Sprints to manage their projects will profit by installing this extension in Zoho Sprints.
Accessibility: Only workspace owner can enable the integration. Once the integration is enabled, each user must authenticate the extension to use it.
Use case
A software company uses Zoho Sprints to manage their agile projects. Within each project they plan their product/ feature releases, sprints, and the features they develop.
Every feature they work with, the team mandatorily should prepare the following documents:
- Product Requirement Document (PRD)
- UX/Design Document
- Technical Design Document (TDD)
- API Documents
- Release Notes
- QA Plan documents
For every entity in Zoho Sprints, users can either create new Sharepoint files or associate existing files available across different folders.
Also, for each project a separate document library can be created in SharePoint and it can be associated to the project in Zoho Sprints. The associated library and the documents within it will be available as a new module within the Zoho Sprints projects. This way, users can create separate document repositories for each project.
Install SharePoint extension
- Click the gear icon at the top-right corner. The settings window will appear.
- Click All under the Marketplace section. The listing page will appear.
- Select SharePoint.
- Click Install on the following page and then click Install Now.

- Once the extension is installed, select the projects and set the accessibility for the users.
You will be navigated to the Authorization tab.

- Click the Authorize buttons to authorize connections and trigger to grant access to Zoho Sprints and SharePoint accounts.
SharePoint connection will require a valid SharePoint credential to authorize the connection. (Note: If you've already logged in to your SharePoint account, credentials is not required to authorize)
Once the authorization is successful, you can access SharePoint extension from within Projects, Work items, Sprints, Releases and Epics.
Create SharePoint files and folders
SharePoint will be accessible from:
- the more icon in the module list in a project.
- the icon in sidebar in detail view of a work item.
- the icon in sidebar in detail view of a sprint.
- the icon in sidebar in detail view of release.
- the icon in sidebar in detail view of epics.
Associate document libraries or folders to a project
- Navigate to the Project.
- Click the more icon
in the modules list and select the SharePoint extension.

- Click the Associate button if no document libraries or folder is associated. (or)
- Click the dropdown at the top right near the Create button and select Associate.

- Click the checkbox to select the document libraries (drives) to be associated with the project. (or)
- Click and open the document library to select the folders within it to be associated with the project.
- Click Associate.
Disassociate document libraries or folders from a project
- Navigate to the Project.
- Click the more icon
in the modules list and select the SharePoint extension.
A list of all associated folders and document libraries will be displayed. - Hover over the respective document library or folder.
- Click on the Disassociate icon.

- Confirm your action and click Disassociate.
Create SharePoint files and folders within the Projects
- Navigate to a project.
- Click the more icon
in the modules list and select the SharePoint extension.
A list of all associated folders and document libraries will be displayed. - Select the document library or folder within which you want to create a new file or folder.
- Click the dropdown beside the Create button at the top-right corner.

- Click Create File or Create Folder.
In the Create File form, enter the file name and select the file type. - Click Create.
Once it is done, your new file will be created within the selected document library or folder. You'll be navigated to SharePoint with a blank document for you to start entering the content. - In the Create Folder form, enter the folder name.
- Click Create. You'll be navigated to SharePoint with an empty folder to create or upload new documents in it.
Create SharePoint files within entities (Work items, Sprints, Releases, Epics)
- Navigate to the Project.
- Go to the entity.
- Select the required entity.
- Click the SharePoint icon available in the right-side bar. The SharePoint window with the list of existing files and folders will appear.

- Click the Create button.
- Enter the File Name.
- Select the File Type.
- Click the Create button. A blank writer document will appear for you to start entering content. Navigate to the SharePoint window to view and access the created document.
Create SharePoint folders within entities (Work items, Sprints, Releases, Epics)
- Navigate to the Project.
- Go to the entity.
- Select the required entity.
- Click the SharePoint icon available in the right-side bar. The SharePoint window with the list of existing files and folders will appear.
- Click the dropdown beside the Create button at the top-right corner.
- Select Create Folder.

- Enter the Folder Name.
- Select the site.
- Choose the document library.
- Select the parent folder.
- Click Create. An empty folder will be created for you to start adding new folders and files within it. Navigate to the SharePoint window to view and access the created folder.
Associate SharePoint files and folders to entities (Release, Sprint, Epic and Work item)
- Navigate to the Project.
- Go to the entity.
- Select the required entity (Release, Sprint, Epic and Work item).
- Click the SharePoint icon available in the right-side bar. The SharePoint window with the list of existing files and folders will appear.
- Click the dropdown beside the Create button at the top-right corner.
- Select Associate.
- Open the document library.
- Select the required files and folders to be associated within it.
When there are multiple levels of folders, you can navigate to the sub-folders and associate the required files. - Click Associate.
Disassociate SharePoint files and folders from entities
- Navigate to the Project.
- Go to the entity.
- Select the required entity.
- Click the SharePoint icon available in the right-side bar. The SharePoint window with the list of existing files and folders will appear.
- Select the files and folders that you would like to disassociate.
- Click Disassociate.

Upload existing files to the entities
- Navigate to the Project.
- Go to the entity.
- Select the required entity.
- Click the SharePoint icon available in the right-side bar.
- Select Upload File.

- Select the file to be uploaded. Click Attach.
- In the Create File form, select Site, Document Library and Parent Folder.
- Click Upload.
The selected file will be uploaded and associated the entity.
Note:
- You can add only one file at a time with a maximum file size of 10MB.
- If the file or folder is deleted from SharePoint or if the access is revoked for the user, the user will not be able to view them in the associated entities.
Disable SharePoint extension
To disable the extension:
- Click the gear icon at the top-right. The settings window will appear.
- Click All under the Marketplace section. Navigate to installed extensions tab and all installed extensions list will appear.
- Click SharePoint.
- Click Disable.

Disabling the extension will temporarily stop the extension from running and can be enabled again anytime when it is required.
Uninstall SharePoint extension
To remove this extension from your workspace completely, you can uninstall the extension.
To uninstall the extension:
- Click the gear icon at the top-right. The settings window will appear.
- Click All under the Marketplace section. The listing page will appear.
- Click SharePoint.
- Click Uninstall.
