Zoho Sprints comes with whiteboard integration for the users or participants of a work item, a sprint or a release to effectively collaborate and brainstorm. It serves as an easy but efficient tool to communicate the plan for the work items or sprints, the strategy for development, or the process flow to achieve the expected result.

Enable or disable whiteboard
To enable or disable whiteboard:
- Click on the gear icon in the top right corner. The settings page will appear.
- Click Others under Marketplace section. The listing page will appear.
- Click the Configure button in the Whiteboard option. The configuration page will appear.
- Click the Enable button to enable whiteboard integration. (Click the Disable button to disable whiteboard integration.)
Create whiteboard
To create whiteboard:
Note: Please ensure whiteboard integration is enabled. - Go to the Project or Sprint Backlog.
- Select the required work item. The details page will appear.
- Click the Whiteboard icon on the right side menu bar.
- Click the Create Whiteboard button. The Create Whiteboard window will appear.
- Enter a Whiteboard Name and description.
- Select from the listed users to add them as participants in the whiteboard.
- Note: The users listed here are part of that work item, sprint, or release. If you need to add users who are not included in them, click +Project Users.
- Click the Create button. A blank whiteboard will appear.
- Draw on the whiteboard using the available visual and textual elements. The entries are automatically saved.
- Click Close to exit whiteboard. The whiteboard will be added to the listing page in the work item.
Note: Whiteboard will be accessible from:
- the icon in sidebar in the detail view of a work item.
- the More Options listing in the Release module.
- the whiteboard icon in the Board module.
- the whiteboard icon in the Sprint details page.
- the whiteboard icon in the sidebar of the Release details page.
Edit whiteboard
To edit or update whiteboard details:
- Go to the Project or Sprint Backlog.
- Select the required work item. The details page will appear.
- Click the Whiteboard icon on the right side menu bar.
- Select the required whiteboard. The Whiteboard window will appear.
- Click the ellipsis icon to view other actions.
- Select Edit. The Edit Whiteboard window will appear.
- Make necessary changes to the required fields.
- Click Update. The information will be updated.
Other Actions
- Clear: Clears the contents and reverts to a blank whiteboard.
- Export: Exports the whiteboard as a JPEG file.
- Add as attachment: Adds the whiteboard as an attachment in a work item.
Manage participants
Participants are users who have access to the whiteboard. By default, all users who are included in a particular work item, sprint, or release are listed when you are creating a whiteboard. You can select the users who should be able to view the whiteboard.
You can also provide edit access to the whiteboard. Switch the toggle button to enable Write Access permission to a user who is a participant. This allows the user to make changes to a whiteboard you created. This allows the team to pitch in individual ideas and contribute to the discussion.
There might be instances where you need to add users who are not part of that work item, sprint, or release. At such instances, click +Project User and add them as participants.
Note: The participants are notified via email about being added to the whiteboard.
Delete whiteboard
To delete whiteboard:
- Go to the Project or Sprint Backlog.
- Select the required work item. The details page will appear.
- Click the Whiteboard icon on the right side menu bar.
- Select the required whiteboard. The Whiteboard window will appear.
- Click the ellipsis icon to view other actions.
- Select Delete. A confirmation pop-up will appear.
- Select the checkbox for data loss warning.
- Click Yes, Delete button. The whiteboard will be deleted from the listing page.
Points to note
- Participants will receive both desktop and feed notifications when a whiteboard is created or updated.
- The permission to edit the whiteboard details, delete a whiteboard, or clear a whiteboard is available only for the user who creates the whiteboard and the team owner.
- Participants of a whiteboard can contribute to the discussion on the canvas, but they cannot edit aspects like whiteboard name, description, or users.
