A template is a form or a predetermined structure that can be repurposed to work on something similar to it. Its principle is to function as a guide that helps minimize effort of starting from scratch. Some familiar examples include website templates and document templates.
In Zoho Sprints, project templates are incorporated to eliminate the need for repetitive effort. Organizations sometimes perform a predefined set of operations and workflows that will remain unchanged. Retracing those steps and redefining those operations and workflows for every project might be cumbersome. Creating a template will help create a master copy of your standard process and this can be used as the basis of your future projects. This saves time and effort and enables you to create a solid process and structure for your projects. Your team can invest the time and effort in handling tasks and generating output.
Example
Any organization is likely to have definitive operational formats for the various ventures that it is undertaking. All their workflows need to adhere to those formats in order to maintain uniformity, stick to timeframes, and reach the stipulated goals. Let's take the example of a software firm. Product launch, product revamp, small iterations, and issue fixes are the most common operations that a software firm deals with. The process and tasks associated with each of these can be made into templates and reused.
Let's say the team has a set of tasks and workflows for the process of launching a new product. So every time a new product is launched the same set of tasks need to be created. To overcome this, a template can be created for Product Launch and every time a project is created for a product launch this template can be used as basis to build the new project.
To create a template for Product Launch:
Step 1: Create a template without cloning any project to it.
Step 2: Set up your project configuration and add custom work item types, statuses, and priorities.
Step 3: Add relevant sprints and work items that are required to build a new product.
For example, you can create all the possible sprints that you can run while developing a product and list them all in the template. Here's a gist of all the basic sprints that are required for a product launch.
Step 4: Set the Start After and Duration fields to the work items and sprints in the template.
Step 5: Create a new project and clone this template to the project. All the work items and sprints are successfully cloned to the new project.
You can also create a template from an existing project. All you need to do is just clone the project to
create a template.
