Add and manage opportunities

Add prospective opportunities to the opportunity register to track them and take adequate measure to improve the chances of realizing them for business gains. Learn more

Add opportunity

To add opportunity:
  1. Login to your Zoho Sprints workspace.
  2. Select the Risk & Opportunities on the left navigation panel.
  3. Select Register tab and view by Opportunity.

  4. Click the Add button. The Opportunity Risk window will appear.
  5. Enter the opportunity name.
  6. Provide a description.
  7. Select the projects impacted by this opportunity.
  8. Select user group to assign the opportunity to users in that group.
  9. Select opportunity owners.
  10. Enter identified date. Specify the date on which the opportunity was discovered.
  11. Enter due date for the opportunity to be accomplished.
  12. Select the status for the opportunity.
  13. Select inherent impact. Inherent impact is the innate level of impact that the opportunity presents.
  14. Select inherent probability. Rate the likelihood of this opportunity becoming feasible.

  15. Click the Add button. The opportunity will be added to the register.

Note: Inherent class will be derived from the opportunity matrix defined in the Risk and Opportunities available in the settings. Learn more

View opportunity details

The detail view of the opportunity provides an in-depth view of the opportunity information along with the accompanying tabs.

Details: View the opportunity related specifications like identified date, due date, owner, category, impacted projects, status, inherent impact, probability, and class, and residual impact, probability, and class. Update opportunity field values here, except for residual section.



Description: View and edit description of the opportunity.

Comments: Add and edit comments, start a discussion, mention users or groups to notify them, convert comment to item, and copy comment URL.

Attachments: Upload files and images from your desktop or other cloud services.

Action Plan: Add and track action plan or proactive measures that are used to enhance the impact of the opportunity. Associate relevant work items with each of the action plans for better monitoring and progress.



Verification: Set up a review process for your planned efforts.

Evaluation: Submit evaluations to assess the results of the steps taken under the action plans and have them approved to ensure that the strategy has produced the intended output of promoting the opportunity.

Add action plans

To add action plan:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Action Plans tab.
  4. Click the Add Action Plan button. The creation form will appear.
  5. Enter title and description.
  6. Click the Add button to add the action plan.

Click the (+) icon on the right navigation bar in the opportunity details page to add new action plan.

Add and associate items to execute action plan

  1. You can add new work items to the action plan or associate existing items.
  2. Click the Add & Associate Items button in the creation form to include items to the action plan while creating it.
  3. Click Add Items on the action plan listing page to create a new work item for the risk.
  4. Click Associate Items on the action plan listing page to select existing work items for the risk.

 

Edit action plan

To edit action plan:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Action Plans tab.
  4. Hover over the required action plan on the listing page. The Edit link will appear.

  5. Click Edit.
  6. Update field values.
  7. Click the Update button. The changes will be saved.

Delete action plan

To delete action plan:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Action Plan tab.
  4. Hover over the required action plan on the listing page. The Delete link will appear.

  5. Click Delete. A confirmation pop-up will appear.
  6. Click the Delete button. The action plan will be deleted. 
Notes
Note: If work items are associated with the action plan, move the item and then delete the action plan.

Add verification

To add verification:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Verification tab.
  4. Click the Add Verification button. The creation form will appear.
  5. Enter title.
  6. Select Review who will review the action plan.

  7. Click the Add button. The verification will be added in pending status.
Notes
Note:
  1. The assigned reviewer must accept or reject verification after reviewing the action plan.
  2. Rejected verifications can be resubmitted for review.
  3. There are three review attempts.

Click the (+) icon on the right navigation bar in the opportunity details page to add new verification.

Edit verification

To edit verification:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Verification tab.
  4. Hover over the required verification on the listing page. The Edit link will appear.

  5. Click Edit.
  6. Update field values.
  7. Click the Update button. The changes will be saved.
Notes
Note: Editing is supported only for verifications in Pending status.


Delete verification

To delete verification:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Verification tab.
  4. Hover over the required verification on the listing page. The Delete link will appear.

  5. Click Delete. A confirmation pop-up will appear.
  6. Click the Delete button. The verification will be deleted.

 

Add evaluation

To add evaluation:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Evaluation tab.
  4. Click the Add Evaluation button. The creation form will appear.
  5. Enter evaluation title.
  6. Select an Approver to approve the verified action plan.
  7. Specify the Residual Impact following the action plan.
  8. Specify the Residual Probability following the implemented efforts.
    Note: The Residual Class will be generated based on the risk matrix and the newly added residual impact and probability.
  9. Specify whether the opportunity is within reach or not. Within reach denotes  that the impact and the probability of achieving the set opportunity have been increased.
  10. Add relevant comments on the evaluation for the benefit of the approver.

  11. Click the Add button. The evaluation will be added for approval.

Tip
Click the (+) icon on the right navigation bar in the evaluation details page to add new evaluation.

Note:
  1. The assigned approver must approve or reject evaluation after evaluating the results of the implemented action plan.
  2. Rejected evaluations can be resubmitted for approval.

Edit evaluation

To edit evaluation:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Evaluation tab.
  4. Hover over the required evaluation on the listing page. The Edit link will appear.
  5. Click Edit.
  6. Update field values.
  7. Click the Update button. The changes will be saved.

Note: Editing is supported only for evaluations in Pending status.


Delete evaluation

To delete evaluation:
  1. Navigate to the opportunity register.
  2. Select the required opportunity. The detail view page will appear.
  3. Select the Evaluation tab.
  4. Hover over the required evaluation on the listing page. The Delete link will appear.
  5. Click Delete. A confirmation pop-up will appear.
  6. Click the Delete button. The evaluation will be deleted.
 

Other actions

The following actions can be performed on the risk register:
  1. Filter: Use quick and custom filters to drill down to particular set of data. Quick filters are inbuilt filter criteria that can be used to filter data. Whereas, custom filters allow you to define your own set of filter criteria. Learn more
  2. Export: Export the opportunity data in a downloadable file format for external use or reference. Learn more
  3. Copy to clipboard: Copy the bulk of data and paste in an external file for further use. Learn more

 

Set permission

Define specific profile permissions to control access to the risks and their details. Learn more

To define profile permission:
  1. Click the gear icon at the top-right corner. The settings page will appear.
  2. Select Profiles under Manage Users section. The profile permission window will appear.
  3. Select the required profile.
  4. Select Risk and Opportunities on the left navigation panel.
  5. Enable the required actions for the entity level permission and choose the necessary permissions.
  6. Enable the required actions for the field level permission and choose the necessary permissions.
  7. Disable the permissions that need to be restricted for this profile.
  8. Click the Update button to save the permission settings. Users with this profile will only be able to perform the actions that you have defined here.
Notes
Note: The Assigned Projects only permission is enabled by default. This restricts user access only to the risks and opportunities associated with the assigned projects. When this permission is disabled, users with this profile will have access to all the risks and opportunities within the workspace.
