About users

The term users in Zoho Sprints denotes all the participants or members who are part of the workspace.


The users who are added to work on your projects are classified into three types:
  1. Workspace users
  2. Client users
  3. Vendors users
Workspace users are all those who are part of a particular workspace. They are internal users who belong to your organization and are assigned to work on the projects.

Client users are those users are who are not part of the organization but need to be included in the workspace because they are your customers or stakeholders or partners.

Vendor users, again, are those users who are not part of the organization but need to be included in the workspace because they are your vendors or allied services.

Let's assume you are a software building platform that provides a niche software solution to businesses. To run your projects on Zoho Sprints, you need to have a workspace created with users in them. Your workspace users will primarily be composed of your employees who work on building solutions. This can include project managers, developers, testers, designers, writers, marketers, business analysts, and more. These users come together to build projects with different goals, with each project spanning across sprints, and those sprints being clubbed into releases to roll out deliverables for the customers.

However, it is critical to include customers in this scheme of work to create transparency and communicate the progress of work. But, you do not want the customer to have the same accessibility as a member of the organization. Zoho Sprints is equipped with the Client Company and Client User feature to ensure security, while still accommodating the customer in the project management process.


The same principles are applicable to vendors as well. As a software building platform, you might outsource some of the aspects of your project to a vendor firm. Let's say a customer comes with a requirement to support multiple languages. It might not be practically feasible for you to provide translations. Here, a third party service can pitch in with the translation services. Again, the vendor needs to be part of your project as their service is also vital to the deliverable. You can include them in your workspace with the required access.

Attributes of users

Users have certain attributes that help manage them and equip them to function within the scope of the project.

All users will have specific roles, profile, and permission sets associated with them. This enables you to execute access control within the application. Users with certain roles and profiles will have limited access to entities in the application while few others will have unlimited access. These restrictions help implement a hierarchical order when it comes to data access and in turn helps with data security.

Email invitation for user to join

When the workspace owner, admin or manager adds a user to the workspace or project, the user will receive an invitation mail. The user can click Join Now to join the workspace or project.

Re-invite the user

You can re-invite a user when the user is yet to accept the invitation email.
The user will again receive an email from Zoho Sprints. The user can click Join Now to accept the invitation.
Only the workspace owner and admin can resend invitations to the users. Project managers can re-invite the users in their project.
