Google Calendar sync allows you to synchronize calendar events between Google Calendar and your Vertical Studio application in real time. This two-way sync keeps your schedule updated across both systems without manual intervention, and you can automatically block time in Vertical Studio based on your Google Calendar appointments.
This feature is available only in subscriber organizations, not in the Developer Console. You control your own sync settings, including which Google Calendar to sync, the sync direction, and whether to enable unavailability blocking.
Prerequisites
Before you can activate Google Calendar sync, ensure:
- Your super administrator has completed the Google Integration Setup and configured OAuth credentials.
- You have a Google Workspace account with an email address from the same domain as your organization.
- You have the necessary permissions in your Vertical Studio application to sync with Google Calendar.
- You have Read and Write permissions for the Google Calendar you want to sync.
Activating Google Calendar Sync
If your super administrator has not completed the OAuth credential setup, you will receive an error when attempting to authenticate. Contact your super administrator to complete the
Google Integration Setup before proceeding.
To activate and configure Google Calendar sync:
- Navigate to Setup > Marketplace > Google > Calendar.
- Click Authenticate Google Calendar.

- Sign in to your Google account in the new tab that opens.
- Allow the necessary permissions when prompted.
- In the Calendar Sync Configuration dialog, configure the following:
- Sync Calendar: Select which Google Calendar to sync from the dropdown (only calendars where you have Read and Write permissions appear).
- Sync Options: Choose the sync direction:
- Two-Way Sync: Changes in either system sync to the other.
- One-Way: Vertical Studio Calendar to Google Calendar: Changes only flow from Vertical Studio to Google.
- One-Way: Google Calendar to Vertical Studio Calendar: Changes only flow from Google to Vertical Studio.
- Click Save.
Calendar Sync Behavior
Sync frequency and limits
The first-time sync processes up to 5,000 calendar entries from the past 3 months. After that, consecutive syncs process a maximum of 500 entries per sync. Events added in Vertical Studio sync instantly to Google Calendar, while events from Google Calendar sync to Vertical Studio every few minutes.
Field mapping
Data is transferred between systems according to the following mapping:
Vertical Studio Field | Google Calendar Field |
Subject | Title |
Start date time/End date time | Same as Vertical Studio |
Venue | Where |
Description | Description |
Add Invitees | Add guests |
Events and behavior
- Events with no title: Events without a title in Google Calendar appear as "Not Provided" in Vertical Studio.
- Recurring events: Not supported for sync.
- Free events: Events marked as "Free" in Google Calendar are not synced.
- Event location: Events added from Google Calendar are added under the All Events list view in Vertical Studio.
- Reminders: Must be set separately in each system (reminders do not sync between platforms).
Managing Google Calendar Sync
After activation, you can view sync status and manage your calendar integration.
Viewing sync status
Navigate to Setup > Marketplace > Google > Calendar to view the Sync Summary, which displays:
- Google Account (the email address you authenticated with).
- Calendar (which Google Calendar is synced).
- Sync Options (Two-Way Sync, One-Way to Google, or One-Way to Vertical Studio).
- Sync Status (Active or Inactive).
Deactivating calendar sync
To deactivate Google Calendar sync:
- Navigate to Setup > Marketplace > Google > Calendar.
- Click Deactivate.
- Confirm the deactivation.
When you deactivate Calendar sync, future calendar events stop syncing. However, existing synced events remain in both systems.

Important: If you deactivate and reactivate sync later, duplicate records will be created in both systems for two-way sync.
Revoking Google authorization
In addition to deactivating within Vertical Studio, you can revoke authorization directly from your Google account:
- Sign in to https://accounts.google.com/.
- Navigate to Linked apps.
- From the list of applications, select the relevant app.
- Click Delete all.
This removes Vertical Studio's permission to access your Google Calendar data.
Sample Use Case
Consider a sales representative at an automotive dealership using a Vertical Studio application. The representative uses Google Calendar for all scheduling and needs to keep appointments synchronized.
Scenario 1: Test drive booking
A customer schedules a test drive, and the representative creates an event in Vertical Studio. The event instantly appears in the representative's Google Calendar. The representative can see the appointment on their mobile device using Google Calendar without logging into Vertical Studio.
Scenario 2: Personal appointment
The representative blocks time for a personal appointment in Google Calendar. The appointment syncs to the Vertical Studio calendar. Colleagues can view the representative's schedule in Vertical Studio and avoid scheduling conflicts.
Scenario 3: Team meeting
A manager creates a team meeting in Google Calendar and invites the sales team. The meeting syncs to each team member's Vertical Studio calendar. Everyone's schedule reflects the meeting in both systems without manual entry.
The result is a unified calendar experience where the sales representative uses Google Calendar as usual while keeping Vertical Studio synchronized automatically.
