Web forms help businesses collect important customer information, such as their name or email address. This is crucial in building your sales funnel, tracking customer information, and for other important reasons, such as feedback or purchases. Zoho Sites allows you to create your own forms to capture data from your website visitors.
This article will illustrate the various features of the Forms functionality and how you can create your forms.
- Access the Forms module from the Sites dashboard. Click Add Form.

- Enter a form name to identify your form and click Add.

- Click the required form fields on the left panel, which will then appear on the form builder. You can then rearrange them as needed.

- Click on any field to edit its properties. Here, you can change the field label (the name displayed above the field box) or the field link name (a unique identifier for the field), add instructions or notes (further description to help the user fill the right information), and make the field mandatory or optional.
- Additionally, you can click the Encrypt data, Contains personal info (PII), and Contains health info (ePHI) toggle based on the nature of the information you collect.
- You can delete any of these fields by clicking the red-colored delete icon, or you can copy the field by clicking the green-colored copy or clone icon.

- After editing all the field properties, click Form Properties. Here, you can edit the form name, the form link name, the submit button text, the message to be shown upon submission of the form, and the submit action, which is the action to be taken when a user submits a form.
- You can Enable captcha, Limit form submissions, and Schedule data collection. You can also restrict multiple submissions from the same IP address by enabling Limit one entry per IP address.

- To configure the submission action, click the Choose Action button to select an action to be performed from the list available. Currently, you can choose from the following actions: redirect users to a specific page on your website, redirect to a specific URL, allow users to download files, or send them to a blog category page on your website. Once you've set up your action, click the Save button.

- Once you are done setting up your form properties and field properties, click the Save button.

- All your saved forms appear in the Forms module. Here, you can select Edit Form to customize it, Add Record to add more form records, Delete Form, or Add Form to add a new form.

New records can be added through the Forms module, but adding records from the website is permissible only after publishing. Zoho Sites allows you to create your own forms to capture data from your website visitors.
- To add the form to your website, visit the site builder and click Add element where you want the form to show.

- Under Forms, drag and drop the form you want to insert on the page. Your form will now appear on your website, and it will be able to accept responses from your customers.

- You can view and edit submitted records on your Forms module. You can specifically know more by clicking on a particular record.

- In the popup, click Edit record to make changes to the values for that record.

- To delete a record, tick the checkbox next to a record and click Delete Record.

- You can also filter the records by using the filter option as shown below. Click the filter icon and select the fields you want to filter the records by. Choose one of the conditions from the drop-down and enter the value for the filter. Finally, choose Any of these for an OR logic to be applied, or All of these for an AND logic to be applied to the filter, then click Filter.

- To export all the data as a .csv file, click on the form you want to export, click on the three dots symbol, and select Export Data from the dropdown.

- To delete your form, you can click on the same three dots on the right and choose Delete Form below Export Form.
This section covers the unique properties of all the custom fields available in Zoho Sites Forms:
- Single line & Multiline: This is used to collect detailed inputs from the users, such as reviews or feedback or specific requirements. For both fields, you can enter a default value and the minimum and maximum length of characters allowed.

- Dropdown, Checkbox, and Radio: For all these three fields, you can enter the options for users to choose from. Clicking on the radio button in the field properties makes that option the default option for the dropdown and radio fields. For the checkbox field, multiple options can be selected. For Dropdown, Checkbox, as well as Radio, you can include many choices. Go to the field properties, and under Assign Value, you will find the options to rename the fields or add more fields by clicking the + button next to the field.

- Date Format, Time Format and Allowed Dates: You can choose the date format and allowed dates. You can also choose the time format as well.

- Terms and Declaration: Enter the text in the Terms box that outlines your terms and conditions. Next, toggle Show terms on or off to show or hide the Terms box. You can also edit the declaration text that appears next to the text box and edit the Agree Status according to your preference.
