An Overview of Process Management in Zoho CRM

If you are running a company or are a part of one, you would know the importance of defining business process strategies that lead to success. Various business processes run simultaneously.

Based on the requirements and priorities of a company, business processes can be limited to one department, or they can extend to various departments. Zoho Blueprints:


Zoho Blueprint is one of the finest process management tools that maximize the use of automation for completing the same business process repeatedly. It is basically like a guide that moves from 1 to 2 to 3 without any option to skip even one step in between.


You can consider a blueprint to be a flowchart that stands for an end-to-end operation in the business process. Once you implement Zoho CRM, you can create a blueprint of your business process in a way that helps the business representatives take the right actions. It is like a sales process builder that moves the record to the next step once the conditions for a stage are satisfied.


Approval Process:


Zoho CRM enables the automation of processes that entail the approval of records. The user can define criteria for records that should be considered for the approval process and identify those who should approve the records.

To make this simple, let’s understand with an example. While running a business, there are multiple times when taking some actions requires approval of the senior management. For instance, if the sales representative working at a junior level feels a need to offer a discount to close a deal, the junior may need to get the manager's approval.


If multiple decisions need to be approved in the CRM database, it becomes troublesome to sort and sift through records while sending the requests for someone’s approval. The workflow approval in Zoho CRM makes automating approvals way more seamless and practical.


The users can set up the approval process using the “Manage Workflow” option that allows defining criteria based on which the records should be sent for approval. In addition, it is also possible to include a couple of actions that can be performed on the approval and rejection.


Sandbox:


With the growth of an organization, the sales processes grow too and become rather complex. At this point, even a tiny error can be harmful to the end results. So Zoho CRM comes up with Sandbox to ensure that this does not happen.


You can think of Sandbox as a different environment used for testing and validating different business cases in real-time. In other terms, Sandbox is like a simulation that impersonates the existing CRM environment. Sandbox can be used to test various changes before they are pushed live.


The purpose of using Sandbox is to safeguard the production environment from facing any wrong codes, configurations, etc. Organizations can effectively run various environments for testing and making suitable changes without affecting the present system. After the test has been done, the changes can be implemented.

Zoho CRM is an excellent tool for aligning processes with an organization’s objectives while designing and implementing process architecture. With the proper use of Zoho CRM, you can quickly establish process management systems that align with your business goals and train the representatives to manage processes effectively.
