Daily facility inspections. Weekly maintenance. Monthly equipment checks.
If your team handles recurring jobs, you don't have to create every task manually.
With Scheduled Automations in Zoho Tables, you can automatically create records at your preferred frequency and keep recurring work on track.
Here's how you can put it to use:
Automate task creation: Set up a scheduled trigger and use the Create Record action to add new tasks to your table.
Keep today's work in focus: Create a view filtered to show only tasks due today and share it with the relevant users.
Make ownership clear: Use a Collaborator field to assign jobs and let each team member filter tasks assigned to them.
The result? Less manual effort, better visibility, and a more consistent way to track recurring work.
Steps to set up a scheduled automation:
Add a new automation
Choose “Run on a schedule” as the trigger
Configure the frequency — daily, weekly, monthly, or as required
Under Actions, add “Create Record”
Choose the table where the new job should be added
Choose the fields you want to populate and add their values
Add as many fields as required
Activate the automation
1. Create a “Today’s Tasks” view
Add a filter to show only tasks due today and share this view with the relevant users.
This gives your team a focused list of what needs to be completed today and helps maintain consistency in tracking.
2. Use a Collaborator field to assign jobs
Assign each job to a specific user using the Collaborator field.
You can then filter the view based on the logged-in user, so each person can quickly see the jobs assigned to them.
From recurring maintenance to inspections, cleaning schedules, service requests, and more — scheduled automations can take repetitive record creation off your team’s plate.
