Hello Everyone,
Your contact sync in Google integration just got revamped! We have redesigned the sync process to give users more control over what data flows into Google and ensure that this data flows effortlessly between Zoho CRM and Google.
With this update, we allow you to sync beyond the Contacts module. You can set up sync for any custom module that stores contact information, so even your custom records can appear in Google Contacts.
We have also made testing your integration safe. You can use your sandbox environment to test sync settings before deploying them to your production account.
What's changed?
- Setup sync with up to 5 modules
- Your contact sync process is now a 3-Step process
- Select the module to sync with google
- Add custom fields if necessary.
- Add default values for fields in the sync.
- Automatic creation of Google contact labels
Let's dive into these changes in more detail.
Setup sync with up to 5 modules
Currently, the sync process supports only the Contacts module in Zoho CRM.
In this enhancement, you can sync up to five modules with your Google account. This includes both standard and custom modules that store contact information. For example, you can sync Contacts, Vendors, Leads and two custom modules or even five custom modules if you prefer.
A Three-Step Sync process
Currently, users can configure the sync process only for the contacts module in Zoho CRM. They would select their Google contact list and it's corresponding Zoho CRM contact view, set up sync options, check if the suggested field mapping is accurate, choose the frequency, and Save.
Now, we've redesigned this into a three-step process to give users more flexibility and control by allowing them to sync from other modules, map custom fields, and set default field values.
Step 1: Users can now choose from the Contacts, Leads, Vendors and all custom modules to sync with Google. Currently, only the Contacts module is supported. Only User-owned records from these modules will be synced.
Step 2: Users can add custom fields for mapping between Zoho CRM and Google. They can also choose from custom fields from a module to be synced. Once synced, these fields will automatically appear in Google. Currently, only standard fields will be displayed for field mapping and custom fields were not supported.
Step 3: Users can set default values for fields, so empty data is not pushed into CRM during the sync. Currently, there is no way to set default values for fields and hence, this would sometimes return empty fields after the sync.
Automatic Google Contact Label creation
Google contact labels will now be created automatically based on the module selected, making the setup simpler and more consistent. During sync, this automatically created label will appear in Google, and all related records will be synced under it, ensuring better organization without any manual effort.
Note :
1. Since contact sync works at the individual user level (not at the organization level), we want to ensure that only relevant contacts are synced to each user’s Google account. Moving forward, only the contacts you own in CRM will sync to your Google account. Contacts owned by other users will no longer be included.
2. Additionally, contact syncing will now be based on record ownership and module-level selection, instead of custom-view selection.
Impact of this enhancement on Users
For Existing users : Their current sync settings will remain unchanged. However, if their existing sync is disabled and they re-enable contact sync later, they will be redirected to the new flow.
For New Users : All new Google Integration setups will adopt this flow by default.
Our focus for this enhancement is to make Zoho CRM’s Google Integration more powerful, user-friendly, and reliable. If you have questions, please do drop your comments below, and we will get to you at the earliest.
