syncing between Zoho Apps

We have a paid Zoho Projects account and have run into problems when we try to make use of the Apps.  Today I went to Invoices (via Projects) and it asked me to enter my company information and I set up rates and info etc. but when I tried to pull over Project information I got a message saying I had no projects.  However, someone else in our team then logged into invoices and was provided with a pop-up window that let him select which project.  When I look at his screen capture it appears we are working from two different invoice accounts.

The same problem seems to have occured with CRM - one of our colleagues logged in with his projects login but can't access our company CRM instead seems to be in his own CRM version but with his company email and we can't seem to detach our emails from these strange alternate universe apps.

Help!
