Of late, it's been quite a stint of new app integrations in Zoho One. This announcement pertains to the addition of another Zoho application, the most sought-after Zoho RPA - Robotic Process Automation, to the bundle.

What is Zoho RPA?

Zoho RPA, as the expansion suggests, is entirely about an RPA agent interacting with the user interface as if you yourself would, and automating your business workflows and performing the associated processes. This app essentially caters to jobs that require immense human involvement, manual actions with a high rate of repetition and a low rate of exception. How to leverage RPA in Zoho One?

In Zoho One, you may already have workflow-simplifying services like CRM and Creator, which might still entail tasks like note-taking and data entry. Doing the same numerous times for every service can prove tedious, and here pitches in the RPA software. Be informed that the RPA app and its features are currently supported only on the Windows software.

Key usecases:

  1. Web automation
    You may stumble upon potentially useful data on a website and later want to pull up specific contents from that data in a refined, and more consumable form, for instance, as a tabular representation for some purpose. Zoho RPA helps you set up a workflow between the web site and the local system location where you intend to save the output file. Upon executing the workflow, the RPA agent sets out on carrying out every job in the workflow's sequence and completes its run by extracting and yielding the desired output. For such a process to be implemented in a large scale, having an RPA workflow set up pre-empts your direct involvement in a lot of little, repetitive actions, saving you time for other indispensable tasks. This whole scenario basically constitutes what is termed as "web automation", a key application of Zoho RPA.

  1. Expense management
    Here, you may have a series of actions like raising a claim, submitting relevant documents for verification, scheduling audit sessions (if necessary), initiating reimbursement, and at last sending acknowledgements. All of these are absolutely systematic and linear and so can be automated using appropriate RPA elements and put together to form an operational workflow. Raising claim will be set as the trigger for the entire flow, which will then unfold in the said order without you having to intervene at any level.

  1. Data migration
    When you want to migrate the data you have with your legacy systems to a different platform (which is rather advanced and based on services containing tools for analytics and cloud networking), you need to import the data--download the data from the legacy system manually in an appropriate format and then run it through an analytics app like Zoho Analytics. Then, the reports and detailed stats you're looking for will be obtained for you. Much of these processes comprise repetitive actions and therefore require a great deal of manual intervention. You can configure an automation, and this way, you can nullify the overwhelm and engage your employees in other more productive tasks, thus enhancing overall efficiency.
