Comment enhancements - more productivity inside the box.
Let's say you're building a sales forecast for your product or developing a marketing budget for your team. You start out with a spreadsheet and soon realize that you need to work with other people: to validate assumptions, get estimates, verify processes etc. Do you find yourself sending emails, making calls—trying to reach people—cutting, pasting, waiting... waiting for the input you need?
Built right into Zoho Sheet is the prescription for this headache. It's called Comments. Now we've improved it further. Read on...
In case you watched this preview before, you must be familiar with the basics of the feature such as - starting a comment, @mentioning a collaborator and accessing the comment through its mail notification. It's time for more. Let's start with the comment life cycle - Create > Edit > Resolve > Reopen > Delete comments.
Creating comments and multiple comments.
Comments offer great scope for discussions. Many a time you might have to discuss two completely different topics from a same range or overarching cells. We have you covered. Create multiple comments from the same cell/range
Edit comments and ranges.
What if you started a comment with a wrong range? What if you misspelled? What if you tagged the wrong person? You don't have to delete the entire comment thread. Edit comments. The range selector allows you to edit ranges.
Once the discussion is complete, resolve the comment. Wait, what if the discussion was not complete? Just reply to the comment to reopen it. Keep track of the unresolved comments using the highlight option.
Comment specific links.
A discussion thread can serve as a great source of future reference. Refer comments with comment specific links.
Filter comments.
The comment panel provides an organized view of your discussions. Use the filter option to filter comments based on the sheet or their resolution status. Print all comment threads or specific ones as you wish.
Notification settings.
All collaborative features need active user participation. Take part in discussions with timely notifications. An @mention triggers a mail immediately. Missed a collaborator action in spite of being present in the spreadsheet? In-panel notifications make sure you don't.
Choose the Notification setting of your choice and stay notified.
Comments that call out.
Highlight comments and the sheet tab displays callout(s) with the number of comments in the highlighted sheet/spreadsheet. Clicking on the call-out takes you to the comments in the particular sheet. Use it to get an overview of all comments in the spreadsheet and filter comments based on sheets.
Share and Comment.
Missed out sharing the spreadsheet to someone. Reminded about it just when you are about to key in a comment? No worries. Go ahead and @mention them with their email along with what you want to say. We make sure to ask and you make sure to share.
Read/Comment.
Share spreadsheets with read/comment privilege. This new share privilege allows collaborators to be part of discussions without being able to alter the contents of the spreadsheet.
Talk more and work more with Comments.
