How to Customize & Reorder Spaces in Zoho One 25 (Spaces UI) β€” Admin Tips Not in the Docs

Hey Zoho Community,

After digging around in the new Spaces UI, I found a couple of admin features that aren't well documented yet but are really useful. Sharing here in case others are looking for the same things.


πŸ” How to Change the Default Space Users Land On at Login

By reordering your Spaces, you can control which Space loads first when users log in. Here's how:

  1. Log in to Zoho One with the Spaces UI enabled
  2. Click the Space selector dropdown in the top left
  3. Click Manage Spaces β€” this takes you to Directory Settings
  4. Navigate to Applications β†’ Active Apps β†’ All Applications
  5. On the right side of the screen, you'll see your Spaces listed in order
  6. Click the Reorder Spaces icon (arching arrow with three boxes) to drag and rearrange them
  7. The Space at the top of the list becomes the default landing Space at login

⚠️ Admin access required β€” this appears to be an org-wide setting, not available to individual users.


βž• How to Create a Custom Space with Specific Apps

Above the Manage Spaces link in the same dropdown, there is a + Create Space option. This allows admins to:

  • Build a custom Space from scratch
  • Choose exactly which applications are included
  • Go beyond the default app groupings in the pre-built Personal, Organizational, and Functional Spaces

This is especially useful for creating role-specific or department-specific Spaces β€” for example, a Finance Space with only Zoho Books, Expense, Inventory, and Payroll, or a Sales Space with just CRM, SalesIQ, and Bigin.


Why This Matters

Zoho's own documentation on the Spaces UI is still catching up, and I couldn't find either of these features covered in the help articles. Hopefully this saves someone else the time of hunting through the UI.
