Use Secure Public Links for Sharing Transactions

Use Secure Public Links for Sharing Transactions

Public links are the quickest way to send invoices or quotes to your customers. You can drop the link in an email, SMS, or WhatsApp message. But, links can be forwarded, and once they leave your customer's inbox, you can no longer control who sees your customer information and transaction details.

With Secure Public Links, you can add an identity verification step to your public links, so only the intended recipient can view the full details of an invoice or quote.

How It Works

When Secure Public Links is enabled, customers who open a public link must verify their identity using the email address or mobile number registered in Zoho Invoice before they can view the full document. Anyone else who receives the link; say, through a forwarded message will only see limited actions based on your configuration.
In short: the link stays shareable, but the data stays protected.

Why This Matters for Your Business

Protect sensitive transaction details. Pricing, customer information, and payment terms remain visible only to verified recipients.

Reduce accidental exposure. Forwarded links no longer mean forwarded data.

Keep your workflows fast. You don't have to choose between convenience and confidentiality — your teams can continue sharing links the way they always have.
Notes

A Quick Example

Patricia from Zylker sends a high-value quote to a client over WhatsApp to speed up approval. The client forwards the message internally to loop in their team. With Secure Public Links enabled, only the intended recipient, whose email address or mobile number is registered in Zoho Invoice can verify their identity and view the full quote. This way Patricia protects her pricing and customer information without slowing down the deal.

Enable Secure Public Links

You can turn this on in just a few clicks:
  1. Go to Settings.
  2. Navigate to Customer Portal and select General.
  3. Enable Secure Public Links.
  4. Click Save.
Every public link you share after enabling will carry the verification step.

Where You'll Find This Most Useful

Secure Public Links is a great fit for your business:
  1. Shares invoice links through email campaigns.
  2. Sends quote links over WhatsApp or SMS.
  3. Relies on quick public-link sharing but needs stronger data protection.
We'd love to hear how this works for your team. Try it out and share your feedback in the comments below, your input directly shapes what we build next.
