Tip #39- Strengthen account security with Multi-factor Authentication (MFA) – ‘Insider Insights’

Securing your organization's data begins with verifying that only the correct individuals have access to it. One of the simplest yet most effective ways to accomplish this is to enable Multi-factor Authentication (MFA) within Zoho Assist.

MFA introduces an additional verification process for logins, making it more difficult for unauthorized access even if a password has been compromised. You have the option to use authentication modes such as SMS, Time-based OTP, Touch ID, Push Notification, Smartphone, or QR Code—whichever is most convenient for your team.

Imagine your technician away and hopping onto an airport public Wi-Fi to log in to Zoho Assist. Even if their password were somehow intercepted, MFA would mean that without the second stage of authentication, such as an OTP or a push notification—the account remains safe. That additional factor can be the difference between a secure account and one that is compromised.

To enable MFA for a newly added user, navigate to Settings → Multi-factor Authentication under Security & Compliance and click Manage. Go to the Users tab—newly added users will have External against them. Choose the needed user and click Convert to Org. They will receive an invitation email. When they click Join Now, MFA will be enabled for their account automatically.

To activate MFA for newly added technicians in the organization, you can invite them to have a MFA set up by following the below steps. Go to Settings and choose Multi-factor Authentication under Security & Compliance and click Manage. Go to the Users tab—newly added users will have External against them. Choose the needed user and click Convert to Org. They will receive an invitation email. When they click Join Now, MFA will be enabled for their account automatically.

Enabling MFA for new users enhances your organization's security from the very first day, protecting accounts before they fully have access. It diminishes the risk of unauthorized logins even when credentials are compromised. This proactive measure also maintains in-house and industry security compliances. A couple of minutes of setup today can prevent your organization from expensive downtime and data loss tomorrow.
