ZOHO FSM integration with ZOHO CRM

Hi,

I run a cleaning company based in London, and we moved to Zoho CRM last summer. We have been using it ever since, with the help of an implementation partner for the initial setup.

We are now trying to integrate Zoho FSM for our field technicians. However, the implementation partner has been struggling with the integration for the past few months. I believe they created a custom button in Zoho Books labeled "Send to FSM," but it doesn’t work. I don’t think it should be this complicated, and I hope there is a simpler way to set this up.

Question 1: Best Way to Connect CRM and FSM

What is the best approach to connect CRM and FSM—should it be done directly or via Zoho Books?

Our goal is that when we create a Deal and then an Estimate, once the Estimate is accepted by the client, a Work Order is automatically created in FSM, transferring the following details:

  • Customer name
  • Contact details
  • Site address
  • Services
  • Attachments from the Deal

Currently, we are unable to achieve this, and the custom button in Zoho Books doesn’t seem to be the right solution.

Question 2: Service Appointments in FSM

I also need guidance on scheduling Service Appointments in FSM. As far as I understand, a Work Order allows only one Service Appointment per service, which doesn’t work for us.

To explain, most of our jobs are builders cleans, and when we provide an Estimate, it typically states:
"Builders Clean – £1,000"

  • It does not specify the start date or the exact number of days needed, as this is covered in our Scope of Work and Terms & Conditions.
  • Some jobs require 4 cleaners for 2 days or 6 guys for 12 days, but if the Work Order lists only one service ("Builders Clean"), it seems we can create only one Service Appointment, which is not practical.

How can we schedule multiple appointments within the same Work Order to accommodate multi-day jobs? Is there a way to break it down without having to create separate Work Orders for each day?

I appreciate any guidance on the best setup for both CRM-FSM integration and Service Appointment scheduling.
