今回は「Zoho CRM アップデート情報」の中からメール機能に関するお知らせをご紹介します。
これまで、Zoho CRMから直接送信されたメールにはユーザー権限が適用されておらず、役職に関係なくすべてのユーザーがメールにアクセスできました。
一方、IMAPやPOPサーバー経由で管理されているメールには権限設定が可能でしたが、CRM内で送信された個別メールや一括送信メールなどは全ユーザーに共有されていました。
今回のアップデートにより、メール機能に新たなメールのアクセス権および共有に関する設定オプションが追加され、以下のことが可能になりました。

メールの送信予約における変更点
レポートにおける変更点
1. 標準アクセス権限の導入
[セキュリティ管理]>[役職と共有]>[データ共有設定]から、Zoho CRM内で送信されたメールのアクセス権を設定できるようになりました。
デフォルトでは「組織内共有(表示/編集/削除)」が適用されていますが、以下の3つの選択肢から選ぶことができます。
- 「非公開」
- 「組織内共有(表示のみ)」
- 「組織内共有(表示/編集)」
「表示」はメールの閲覧を許可し、「編集」は返信や転送、下書きや予約メールの編集を可能にします。
「削除」は下書きや予約メールの削除が許可されます。
それぞれのアクセス権限でできることは以下の通りです。
2 . メールの下書きにおける変更点
下書きの担当者は、直接編集・送信が可能です。
他のユーザーは閲覧専用となりますが、編集権限がある場合は[編集する]ボタンから編集できます。
管理者または権限の高いユーザーが他のユーザーの下書きを編集する際は、所有権が譲渡されることを示す通知がポップアップ表示されます。
3. メールの送信予約における変更点
これまでは、送信予約メールの編集は担当者のみ可能でしたが、アップデート後は他のユーザーも編集できるようになりました。
4. レポートにおける変更点
アップデート前は、全ユーザーが他のユーザーのメールデータを閲覧可能でしたが、アップデート後はアクセス権限を持つメールレポートのみ閲覧可能になりました。
ただし、この権限はメールがレポートの基準タブに選択されている場合のみ適用されます。他のタブが基準タブの場合は、そのタブの権限が優先されます。
適応環境:全てのユーザー、全てのデータセンター
