Access to restricted IP addresses

I have two queries.
1) If you right click in a cell you get an option of pick from a list. But how to generate a pick list? or where to make entries so that the pick list will be available?

2) We found that after sharing any application of zoho with our team members, we are unable to control their capacity to change/ copy/ share the data from a location other than from office. In a situation where we want many employees to collaborate but not to break the confidentiality, this may not desirable. How do we solve this?

Is there any system due to which we can allow the access to the application for restricted IP addresses only? In such a case what about dynamic IP addresses?

Although it may not prevent but it will help us to track, Is there any system to track who did what in the sytem at what time?
