Use Check-In / Check-Out for Exclusive Editing in a Collaborative Environment

Collaboration is one of the easiest ways to get your work done faster, in less time. However, working together with your team on confidential documents needs a controlled and secure environment. Here's how the simple check-in / check-out feature can help you monitor and track changes made to the document in a collaborative environment:

  • With the check-in and check-out feature, you can keep track of your document at all times, and maintain version numbers for each check-out to manage the editing.
  • It eliminates confusion as when you check-out the document, you are the only one allowed to edit, and it remains locked for other collaborators until you release it.
  • Version numbers are maintained for each check-out, so you always have a detailed record of all the people who have edited the document. You can also add additional comments while checking-in the document explaining the changes made.
  • It helps to maintain a proper workflow and avoid confusion while editing the document. As the collaborators can view who has locked the document for check-out, it avoids the chances of editing the same document multiple times.

To check-out a document:

  1. In your Zoho Docs homepage, choose a file that you want to check-out.
  2. Right-click the file and click Check-Out. A pop-up window is displayed.


  3. You can perform the following actions in the pop-up window:
  • To download the document and edit offline, click the Download button.
  • To edit it online, click the Edit button.
  • To cancel check-out, click the Discard Check-Out link.

    After editing, close the file to upload the latest version to the server. The changes are automatically saved.

To check-in a document:

  1. In your Zoho Docs homepage, right-click the file that you want to check-in, and click Check-In. A pop-up window is displayed.



  2. Enter message in the text box to explain the changes made in the document.
  3. Click Check-In.

    The latest version of the the document is successfully checked in.
