今回ご登場いただく株式会社コンテックス 箕輪 泰子さんは、機械開発支援や技術系の産業翻訳・通訳事業を展開する同社の中で、システム運用担当者の役割を担っています。箕輪さんと同社がどのようにZoho を活用し進化してきたのか、そのストーリーを聞きました。
――貴社の事業内容についてご説明ください
弊社は1983年に技術開発を支援する事業として創業し、現在は機械開発支援、技術者派遣、技術系の産業翻訳・通訳、Zoho 導入支援を行っております。
――Zoho の利用歴を教えてください
4年ほどになります。
――貴社の業務プロセスにZoho を採り入れた経緯を教えてください
弊社の業務システムは、エクセルから始まり、オンプレミスのファイルメーカー、そして自社でフルスクラッチ開発したシステムを運用していました。
上記システムが老朽化したため、柔軟なシステム運用ができるクラウドサービスを探していました。Zoho は、50を超えるサービスを提供しているので、今までは想像していなかったようなシステムの使い方もできるのではないかと感じたためです。
――以前に利用されていた他社サービスと比較していかがですか?
Zoho の最大の魅力は、自社でシステムの修正や新機能の開発が迅速に行える点ではないでしょうか。変更が即座にシステムに反映され、何度でもテストができることや、自社独自の項目設定が容易に行えることにより、システム開発にかかる時間と費用を大幅に削減できたと感じています。
また、機能ごとにアプリケーションが分かれていることも使いやすさにつながっていると思います。ユーザーの割り当ても柔軟であり、情報の管理が容易です。
――Zoho サービスの主な活用方法や、どのような業務プロセスで活用されているかを教えてください
主に営業・マーケティング分野のサービスから使い始め、Zoho CRM を顧客/商談管理、Zoho Books では販売管理を行っており、Zoho Campaigns、Zoho Forms、Zoho SalesIQ、Zoho Sites を連携させながら、潜在顧客と既存顧客のニーズを確認し、営業・マーケティング業務に活用しています。
また、契約書作成用としてZoho Sign、ファイルストレージとしてZoho WorkDrive やデータ差し込みで帳票を作成するZoho Writer なども大変重宝しています。
――Zoho CRM / Zoho Books / Zoho Forms をどのように利用されていますか?
Zoho CRM :案件仕様書のようにカスタマイズしており、すべての案件を商談タブに登録します。特に翻訳業務では、翻訳対象言語、文章の文字数、納品ファイルの形式、図表の翻訳有無など、詳細な仕様情報を商談タブに追加し、「翻訳業務カルテ」の画面に反映させています。カルテのように項目を表示させたり、商品別に画面を構成することなど、Zoho の柔軟な設定機能は大変魅力的に感じています。
Zoho Books :Zoho CRM と連携しているため、どのお客様がどの商品をいつ購入しているか、また粗利の貢献度も把握でき、ダッシュボードやレポートを通じて視覚的に分かりやすくなりました。そのため、営業やマーケティングの会議資料を別途用意する必要がなく、この画面を共有するだけで対応できるようになりました。
Zoho Forms :社内稟議や出張精算などの承認が必要なフォームを積極的に作成しています。これらのデータはZoho Sheets にエクスポートして管理でき、レシートなどの証拠書類もアップロードできるため、業務負担が軽減し、作業が非常に効率的になりました。経理担当者もこのデータを参照しながらネットバンキングで支払いを行っています。
ーー上記サービス以外で活用しているZoho サービスはありますか?
Zoho Campaigns、 Zoho PageSense、Zoho SalesIQ、Zoho Survey です。
Zoho Campaigns : Zoho CRM の顧客へメルマガを配信し、Zoho Sites で作成したサービスごとのランディングページへ誘導しています。
Zoho PageSense :ランディングページやホームページに当サービスのコードを埋め込み、アクセス件数やコンテンツの配置・内容の検討に役立てています。
Zoho SalesIQ :ホームページ訪問者情報をZoho CRM の見込み客へ自動登録しています。
Zoho Survey :社内外向けのアンケートや、仕入れ先企業の登録番号調査などを行っています。
――連携しているZoho サービスについて教えてください
Zoho Flow による自動化を進めています。例えば、商談作成時に必要項目を入力し商談登録後、Zoho Books で見積書が自動作成されるように設定しています。
また、Zoho Projects で商談用の新規プロジェクトが作成され、案件ごとのプロジェクトメンバーやタスクが自動で設定されます。商品の納品後は請求書の自動作成と、関連プロジェクトのクローズも自動処理で行っています。
――今後どのようにZoho を活用していきたいですか
将来的に社内基幹システムとして最大限活用していきたいと思っています。
