Transition from Sole Proprietorship to GmbH (Limited Liability Company) – Best Approach in Zoho Books / Zoho One

Transition from Sole Proprietorship to GmbH (Limited Liability Company) – Best Approach in Zoho Books / Zoho One

Hello everyone,

I am currently operating under a Zoho One plan with a sole proprietorship in Switzerland. As of January 1st, 2026, I will be incorporating a new legal entity – a GmbH (Swiss equivalent of a Limited Liability Company). While the business activities will remain the same, the GmbH requires a completely new accounting setup, starting with zero transactions.

My key requirements are:

  • Ideally, I would like to clone my existing Zoho Books organization (items, templates, automations, workflows, inter-app connections, etc.) while removing all existing transactions.
  • I want to avoid reconfiguring everything manually from scratch.
  • I must ensure full access to historical accounting data from the sole proprietorship (for auditing, tax, and compliance reasons).
  • Additionally, I would prefer to get in touch with a German-speaking Zoho specialist who has experience with Swiss accounting and legal requirements for such transitions.

My questions:

  1. What is the best way to “duplicate” or “clone” my existing Zoho Books setup while resetting all transaction data?
  2. How can I ensure my previous sole proprietorship’s Books data stays intact and accessible, without interfering with the new GmbH’s accounting?
  3. Are there recommended best practices for handling a legal entity change like this within Zoho One / Zoho Books?

I would highly appreciate any technical advice, migration strategies, or recommendations from the Zoho team or community. If someone knows a German-speaking expert, please let me know as well.

Thanks in advance!
