What's New in Zoho Subscriptions - April 2023

This month's updates bring some highly requested features to Zoho Subscriptions, like credit notes in the Customer Portal and record locking.
Credit Notes in the Customer Portal
You can let your customers view and comment on their credit notes in the Customer Portal. They will also be able to view the invoices to which credits were applied. If a credit note was refunded, they will be able to check when the refund for that credit note was initiated, along with the amount and mode of payment.
To display credit notes in the portal:
- Go to Settings > Preferences > Customer Portal > General.
- Check the Display credit notes in the portal option.
Show or hide tax fields on the Hosted Payment Pages (India & UK Editions)
You can now choose to display the GSTIN/VAT Registration Number field on the Hosted Payment Pages for the India and UK editions. This enables you to record your customers' tax details right when they sign up for a subscription.
To configure this:
- Go to Settings > Hosted Payment Pages.
- Click the three-dot icon next to a template.
- Select Edit Layout.
- Navigate to the Order Details section.
- Select/deselect the GSTIN/VAT Registration Number field as required.
Record Locking
The newly introduced record locking feature lets you lock your invoices and credit notes to prevent users from modifying or deleting them. Once a record has been locked, only users with the relevant permissions can edit the record. This can help if you have an upcoming audit and you want to prevent unwanted changes to your records.
By default, admin roles have permission to edit locked records. To assign permission to other roles:
- Go to Settings > Users & Roles > Roles.
- Edit an existing role or create a new role.
- Check Edit Locked Records.
Now, users with these roles will be able to edit or lock transactions.
Before locking a record, you need to enable record locking for that module. To do this, go to the module's general preferences under Settings > Preferences and enable Record Locking. Now, you can head over to a particular record and lock it from the More dropdown.
