Zoho → ShipStation Integration – Sales Order–Driven Fulfilment Workflow

Hello All,

I’m reaching out to explore the best way to integrate a shipping tool into our inventory which will speed our process up. We are looking to integrate ShipStation into our existing order-to-fulfilment workflow, as we’re keen to standardise on a single shipping platform without introducing manual order entry or duplicate processes but we are open to other platforms that will allow multi-carrier shipping and a tool similar to ship station. 

Here’s a high-level overview of our current setup and the functionality we’re aiming to achieve.

Our Current Stack

  • Shopify – Handles our e-commerce storefront and checkout.
  • Zoho (Books, Inventory and CRM) – Acts as our system of record for:
    • Sales Orders
    • Inventory and SKU management
    • Customer records
    • Order status and financials
    • Managing deals and customer journeys

Shopify orders are automatically pushed into Zoho, where they are converted into Sales Orders. From that point onward, Zoho is the authoritative source for fulfilment and inventory control.

Current Fulfilment Process
At present, we:

  • Create a Package from a Sales Order in Zoho
  • Then create a shipment from that Package
  • Generate shipping labels via EasyPost integration (all within Zoho)
  • Use a webhook to feed delivery status back into Zoho

While functional, this setup is limited in carrier flexibility and doesn’t scale well for our growth plans. We are doing to many things in a manual process such as switching between carriers e.g. DHL, DPD and Royal Mail (Royal Mail is still a manual process for us)

What We Want to Achieve with Zoho x ShipStation or a shipping tool that can be recommended.
Our ideal future-state workflow is:

  1. Shopify order → Zoho Sales Order (this already works well)
  2. Zoho Sales Order → ShipStation
    • Automatically pushed or button pushed e.g. ready to ship (no manual re-keying)
    • Includes:
      • Full delivery address
      • Customer contact details (Business Name, Customer Name, Telephone Number and Email Address)
      • Line items / SKUs of what has been shipped
      • Order reference numbers
         
  3. Fulfilment handled entirely in ShipStation
    • Generate:
      • Shipping labels
      • Delivery notes / packing slips
    • Select carriers dynamically:
      • Royal Mail
      • DPD Local
      • DHL
      • Palletforce or TPN (for bulky and palletised freight)
         
  4. Shipment status fed back into Zoho
    • Tracking number
    • Shipped / delivered status
    • Ideally via API or webhook

Zoho must remain the master for inventory, customers, and sales orders - ShipStation would be the execution layer for fulfilment only.

Key Questions

  • Is there a native or supported integration for pushing Sales Orders from Zoho (Books or Inventory) into ShipStation?
  • If not native, can we get support on the following:
    • API-based order ingestion from Zoho?
    • Webhook or middleware-driven workflows (e.g. custom API, Zapier-style logic, etc.)?
    • Set up support to get this integration working?
  • Can we have 
  • ShipStation return tracking and fulfilment updates back to Zoho reliably?
  • Are there known limitations when using carriers like Palletforce for freight-style shipments?

We ship primarily from the UK to the UK mainland today, but international fulfilment is a key growth objective, so scalability and automation are critical for us.

Ultimately, we’re trying to avoid a scenario where orders are manually typed into ShipStation, as that defeats the efficiency gains we’re aiming for.

Thanks in advance - we’re keen to make this work and standardise on ShipStation if the integration path is viable as we feel it would be a game changer for our business.
