Zoho Account's domain removal process

As part of our domain clean-up process, we plan to remove domains that have not been renewed.

Why this matters

Zoho handles a large number of domains added by organizations daily. However, many organizations stop renewing domains they no longer need, leading to a backlog of expired domains still associated with accounts.
This creates issues when new users try to add the same domains but cannot proceed due to their existing association with older accounts. To streamline onboarding, reduce support tickets, and save time, we are implementing a cleanup process to remove expired domains from the associated Zoho accounts.

How we're solving this

We have developed an automated system to remove expired domains from the associated organization after 90 days.

How it works

Reminder emails: When we detect a domain is about to expire, we'll send a reminder email to partners and the associated client organization.

30 days before expiration
Initial alert email
15 days before expiration
Second follow up email
7 days before expiration
Third follow up email
1 day before expiration
Final reminder email

These notifications are aligned with the data we fetch from ICANN (Internet Corporation for Assigned Names and Numbers), ensuring that domain owners have enough notice and an accurate expiry date to take the necessary actions.

Marking domain as unverified: If an organization fails to renew the domain before expiry, the domains will be marked as unverified on our side.
Once your domain is marked unverified:
  • You cannot send emails from the email addresses associated with this domain.
  • You cannot add confirmed users to your organization using this domain.
  • Any other organization can now claim your domain.
Retaining the domains: Organizations with expired domains have to renew the domain with the respective domain registrar and re-verify them in Zoho to prevent the removal of the domain from the associated account.

Removal of domains: On failing to renew and re-verify the domains within 90 days, the domains will be removed from the associated Zoho account and all email addresses associated with the domains will be deleted along with their inbox.

The newly added domains that haven't been verified will also be removed after 90 days.
For organizations with domains that have already been expired for over 90 days, 10 days will be given to renew and re-verify the domains to prevent the removal of the domain from the account.
