Empowered Custom Views: Cross-Module Criteria Now Supported in Zoho CRM

Hello everyone,

We’re excited to introduce cross-module criteria support in custom views!

Custom views provide personalized perspectives on your data and that you can save for future use. You can share these views with all users or specific individuals for enhanced collaboration. With the new cross-module criteria support, you can easily refine your records based on related modules and subforms.

As you know, modules are not limited to their own fields; they interconnect with other modules. So using cross-module criteria in custom views enables easy tracking and access to relevant records.

Previously, we implemented this feature in advanced filters. Refer to this post to learn more about cross-filter support in advanced filters. While advanced filters are user-specific, you can save and share custom views to enjoy an organized approach to managing records within teams.

Custom views based on related modules

You can also create custom views based on related modules. For example, by relating the Contacts module with the Deals module, you can add criteria from the Deals module to refine your view further.

Example scenarios:

  • Contacts with deals in specific stages.

  • Contacts with deals where the last activity occurred in the previous month.

  • Contacts without deals or without deals in a specific stage, etc.

Custom views based on subforms

You can use subforms to associate multiple line items to a single record. For example, a sales order record might have a subform called Ordered Items which lists the products, quantity of each product, price, and other details related to that sales order.

You can create a custom view to determine the presence (or absence) of line items. Additionally, you can add criteria using the subform's fields to find exactly the records you need.

For example, you can create a custom view for:

  • Sales orders with specific products in ordered items.

  • Sales orders with specific quantities of specific products.

  • Sales orders without ordered items or items with specific characteristics.

You can combine or create individual criteria for custom views and make searching and managing data easier by defining and reusing custom filters tailored to your requirements.

Limitations:

  • You can select up to three subforms or related modules.

  • You can select a maximum of five fields for each subform or related module.

We hope you find this update helpful!
