Why you shouldn't be using spreadsheets and KeePass to manage passwords

Many companies still use spreadsheets or Keepass to store and manage passwords. This provides access to multiple pieces of confidential data in a single place. Furthermore, the spreadsheets and files containing passwords are shared with team members via chat, phone, and email. This practice is a huge security risk that many companies unknowingly commit.  

In fact, Verizon's 2018 annual data breach report showed:

  • 10,637 security incidents reported because of privilege misuse

  • 81% of hacking-related breaches leveraged either stolen and/or weak passwords

  • 28% of data breaches are caused by internal actors


Here are a few reasons why you should never use spreadsheets or KeePass to manage passwords:

  • No clear picture of who accessed what password or when it was accessed

  • No provision for role-based and fine-grained password sharing

  • Inability to generate strong passwords or perform periodic password resets

  • Inability to track user access activities in real-time
