Resume Inbox

Resume Inbox is a user-friendly parsing tool that enables you to automatically parse resumes sent as email attachments and add them directly to your Zoho Recruit account. Add multiple email accounts as resume inboxes and select from one of three Parsing Modes: LenientModerate, and Strict, each with varying accuracy and success rates. 

The Parsing Mode functionality lets you control the accuracy and success rate of your parsing results. Each parsing mode looks for a set of predefined field values in candidate record attachments. The fields that the parsing mode specifies may not be a mandatory field, but the parsing will still fail if the required data is unavailable (subject to the AND/OR conditions depicted under the mode selection section).

Configuration

New Version

  1. Go to Setup > Resume Management > Resume Inbox.

  2. Under the Email Accounts section, the default Resume Inbox to which the candidate emails will be forwarded is displayed. 

  3. Choose a Parsing Mode and balance the accuracy and success rate of your parser. You have three Parsing Modes, namely, Lenient, Moderate & Strict.

  4. Once you've selected your preferred Parsing Mode, you will have additional configuration options to help your experience, namely;

    1. Under the Duplicate Check section, select Overwrite existing candidate data or Retain existing candidate data to perform the related action when duplicate records are found. 

      Note
      : Duplicate records are found based on the email id provided in the resumes
    2. Under Candidate Source Mapping, select the source of the candidate and select the status of the parsed candidate under Candidate Status Mapping.

      Additionally, you can choose to add a certain Tag to candidate records added through Resume Inbox. This will make searching and filtering said candidates much more straightforward. 
  5. Click Save.

Your Resume Inbox is now configured. You'll now be able to add candidate records into your Zoho Recruit account by parsing resumes sent as email attachments. You can view the candidate record you that was added and the reason of failure if the parsing is unsuccessful under the Reports section by clicking on the button displayed on the top right corner.

Old Version

The Old version be configured with the same steps as the new version. Additionally, you can also configure a Custom Resume Inbox in the old version. 
  1. Click on Add Account under Email Accounts.
           
  1. Select the Email Address and Parse Folder for your Custom Resume Inbox.

Parsing Reports

The Parsing Reports section displays all the resume attachments you've parsed using the Resume Inbox feature. You can view the associated resume inbox, the 'from address' and the date & time of parsing in this section. 




The Reports section is divided into two subsections, namely, Parsed Emails and Failed Emails

Under the Parsed Emails subsection, you'll be able to view the resume attachments that were successfully parsed. 



All attachments that couldn't be parsed successfully will be listed under the Failed Emails subsection.



You can select a different Parsing Mode and try again by clicking on the Reparse button. 

Subject Format For Job Association

In Resume Inbox, a candidate is associated with a job opening based on the subject line of the email you received.

Details required: 

  • JobID (or) JobTitle

  • Source(optional)

Format

  • JobID, JobTitle, or both (value and title).

  • 'JobID' or 'JobTitle' should be followed by a colon (:). You may or may not provide space in between the terms.

  • After the colon, the respective value should be mentioned followed by a comma (,). For example, "JOBID:ZR_2_JOB, JOBTITLE:Web Designer, SOURCE:Indeed"

  • If the source is mentioned in the subject, it should follow the format mentioned above (source: _____,).

  • If the source is not mentioned in the subject, the default source configured in the Resume Inbox Settings page will be used. In case the source is also not configured in the Resume Inbox Settings page, then the source of the parsed candidate will be automatically set as 'Resume Inbox'.

  • The keywords along with their respective values don't need to be entered in any specific order.

Sample Subjects

  • SUBJECT: Seek: Application For JobTitle: B2B Telesales Professional - Part-Time, Ref: Application Source: Seek
    Any content may come before, after or in between as long as they are separated from the keywords (jobtitle, jobid, source) by a comma.

  • SUBJECT: Monster: Application For JobTitle: Web Designer - Part Time, Source: Monster.

  • SUBJECT: Source: TimesJobs, Application for JobId: ZR_24_JOB

  • SUBJECT: Alert: New Candidate Applied for Your Job Posting JobId: ZR_24_JOB

  • SUBJECT: Job application for your Job Posting with jobtitle: Senior Consultant, from source: Dice
