File Conversion Settings

In Zoho WorkDrive, you can upload files in .docx, .pptx, or .xlsx format, and preview them. To edit these files, you need to convert them to Zoho WorkDrive format.

You can choose at a team level whether newly uploaded documents, spreadsheets, and presentations should be automatically converted to the respective Zoho WorkDrive format (Writer, Sheet, or Show) or not. You can also allow or restrict Team Folders admins and anyone in your team from accessing this option in their Team Folders and My Folders, respectively.

To choose file conversion settings:


  1. Click Admin Console in the bottom-left corner of your WorkDrive account.
    The Admin Console page will open in a new tab. Dashboard will be selected by default.
  2. Click Settings in the left panel. The Profile settings will be displayed by default.
  3. Select Content.
  4. Toggle Convert all files to Zoho WorkDrive's format on upload ON or OFF to enable or disable file conversion.
  5. Select the checkbox if you want to allow Team Folder Admins to manage this option for their Team Folders (from Team Folder Settings).
  6. Select the checkbox below if you want to allow anyone in your team to manage this option for their My Folders (from User Preferences).
Notes
  1. Check the supported files for conversion in WorkDrive.

  2. WorkDrive's file conversion setting will not affect the files directly uploaded to Writer, Sheet, and Show, where all non-WorkDrive format files will be converted and opened in their corresponding editor app.

  3. Files uploaded via WorkDrive Sync and TrueSync apps will not be converted automatically. You will need to manually open these files in their respective apps to convert them.

Editing of non-Zoho files in Zoho’s  built-in editor  

Team Admins can control whether users can open and edit supported non-Zoho files using Zoho’s built-in editors, in Zoho Writer, Sheet, and Show. When this setting is enabled, non-Zoho files can be opened as editable copies in the corresponding Zoho format, while the original files remain unchanged. This article explains how to enable or disable this option from the Admin Console.

To enable/disable editing of files in Zoho’s built-in editors:  

  1. Navigate to the Admin Console from the bottom-left corner of your screen.
    The Admin Console will open in a new tab, with Dashboard selected by default.
  2. From the left panel, select Settings.
    The Profile settings will be displayed by default.
  3. Click Content to open the content settings.
  4. Under the Edit non-Zoho files in Zoho Office Suite section, you’ll see the available options.
    • Allow editing of supported non-Zoho documents in Zoho Writer
    • Allow editing supported non-Zoho spreadsheets in Zoho Sheet
    • Allow editing supported non-Zoho presentations in Zoho Show
By default, these checkboxes are enabled and users can open non-Zoho files in Zoho editors (Writer, Sheet, and Show), which can be edited. The original file remains unchanged.
To disable opening and editing of non-Zoho files in Zoho editors, simply uncheck the respective boxes.
