CRM E-mail Sync from Outlook

We are exploring Zoho as a possible new solution for our company. We are trying to understand further on how e-mail sync works. We use outlook. Our current CRM logs anytime we e-mail a customer so we can see in the CRM the message sent to the customer. It only logs their reply to us if we respond. It only logs e-mails to a customer if they are in our CRM so if we are e-mailing them before they are a contact, it won't sync any e-mails until they are added and then only sync messages after being added to CRM and not important previously sent e-mails.  

We've heard syncing e-mails can be a problem in Zoho due to internal e-mails syncing. Example: Coworker to supervisor e-mails that have nothing to do with our customer database and should not be logged in the CRM. It is a concern if someone were to accidentally add themselves in the DB that their internal e-mails would be visible on their record. 

Any guidance on e-mail sync would be appreciated! It's so important for us to be able to see when we e-mail a customer to check in on them or e-mailing a prospective customer but we do not want confidential e-mails logged in Zoho.
