As part of our ongoing series of feature announcements for Zoho CRM For Everyone, we’re excited to bring you another type of module view : Grid View.
In addition to Kanban view, List view, Canvas view, Chart view and Timeline view, we have introduced Grid view for your records in different CRM modules. This feature transforms the way users manage data in their modules by presenting information in a convenient sheet format. It’s especially beneficial for handling modules with large volumes of records, significantly improving efficiency and boosting productivity.
What is Grid View?
Grid View provides a spreadsheet-like interface within our CRM, allowing you to interact with records in a structured and user-friendly format. This powerful addition allows you to create, edit, view, and manage multiple records in a grid or sheet format, making it easier to handle large datasets efficiently. This eliminates the need to download data into sheet format to perform any necessary actions.
Layout-specific views
Grid view is layout specific because it is designed to provide an efficient user experience tailored to each CRM module. Each module in a CRM serves a distinct purpose, such as tracking leads, managing accounts, or closing deals, and may have its own set of fields and formats.
Grid View adapts to these differences, ensuring that:
- Only relevant fields are displayed, and
- Record data is organized in a way that aligns with the needs of the specific module.
For instance,
- In the Deals module, users might perform actions like updating deal stages or assigning ownership.
- In a Leads module, users might focus on converting them to contacts.
The custom layout for each module will include different fields to be displayed. However, the grid view for the Deals modules will display only the field selected for its own layout, including deal stage, deal ownership, and so on. Whereas, the grid view for the Leads module will only display fields for its own specific layout, including lead status, conversion rate, and so on.
Grid View Capabilities
1. Create records directly from the grid
You can add new entries directly from the Grid View without navigating away to the create new record page. Allowing users to create new records directly from the grid helps save time with a reduced number of steps involved.
Row-wise Record Creation Limitations:
- If any required fields are not selected in Manage Columns, record creation will be allowed through the default form in the pop-up instead of row-wise record creation.
- If a layout rule is enabled for your module, record creation will only be allowed through the default form in the pop-up instead of row-wise record creation.
- If data enrichment is enabled for your module, record creation will only be allowed through the default form in the pop-up instead of row-wise record creation.
- If a wizard is set as the default view for your module, record creation will only be allowed through the default form in the pop-up instead of row-wise record creation.
2. Edit, view, and share records directly from the grid
You can effortlessly update records directly within the grid by clicking on the records that need to be updated without having to navigate to the record's detail view.
From the row actions provided in the more menu(...), you can click View to access the record's details quickly. Additionally, you can Share records with team members for collaboration without going into the record detail view.
3. Summarize record data with a chart
Select columns with picklist data to be represented in the different chart views to facilitate pattern identification and decision-making. Click on the chart to view the number of records against it and perform actions on them.
4. Generate Aggregate data from columns
Select columns with number values to get a summary of the data in the records. Without the need to export data or use external tools like spreadsheets, users can save time and effort. The Add Aggregate feature provides immediate answers within the CRM itself, enabling users to make informed decisions by tracking and comparing numbers across categories. This feature appears only for number fields.
Note : The number fields supported are Number, Decimal, Currency, and Long Integer. The fields that are not supported are Phone, Percentage, and Auto number.
5. Perform mass update actions on records
You can mass update records in just a few clicks directly from the grid. Either select the number of records to be updated or select multiple records that need to be updated and enter the data to be added against all of them.
6. Review and Approve records
With grid view, you can approve or reject records directly from the grid, streamlining your approval and review processes.
You can review the records from the grid instead of navigating to My Jobs or to the record detail view page as shown below.
Similarly, you can approve records directly from the grid view, as shown in the below gif.
When to use Grid View?
A scenario where Grid View can be used is during a quarterly sales review.
Sales managers often need a quick and comprehensive way to:
- Review their team's performance.
- Mass update the status of deals.
- Schedule follow-up calls or meetings for accounts.
- Approve discount requests or proposals.
- Generate charts to get an overall summary of teams' achievements vs targets.
- Get aggregate values of deals won for a specific time period.
Grid View enables all of this without switching between multiple modules or screens, saving valuable time.
Limitations :
- Wrap-mode for grid view is not supported.
- Client script configuration for grid view is not supported.
- If the user has multiple layouts, then they cannot select all records in that layout; they would need to select all records page-wise.
- Row-wise record creation is not supported for campaign module integrated layouts.
- Grid view is not available for the following modules:
-- Tasks, Meetings and calls,
-- Finance and other integration module,
--- Services and Appointments
