Durante estas semanas hemos aprendido a evitar la creación de registros duplicados. Pero tal vez ya tenías tu base de datos antes de ver estos tips y no sabes si tu base de datos contiene duplicados. Si te preguntas como localizar y arreglar estos registros duplicados, puedes usar herramientas de de-duplicación para hacer limpieza. Veamos cuándo y cómo utilizar estas herramientas en Zoho CRM.

Encuentra y combina registros duplicados

En ciertas ocasiones puede que sepas que algunos registros tienen entradas duplicadas en tu cuenta de Zoho CRM. En este caso, puedes ir directamente a la página detalle de este registro y utilizar Buscar y combinar duplicados.

Módulo Posibles Clientes > clic en un registro > (...) > Buscar y combinar duplicados.

Por ejemplo, sabes que hay un posible cliente con el nombre "Marta Martín" que ha sido duplicado, y quieres encontrar los registros con el mismo nombre y combinarlos en un único registro.

Primero, marca los registros que quieras combinar de la lista de registros encontrados:



Segundo, marca qué campos quieres conservar de cada registro:



Y haz clic en "Combinar".

Deduplicar registros (Auto-combinación de duplicados)

Esta herramienta es especialmente útil cuando tienes dudas de si tu cuenta de CRM contiene registros duplicados, pero no sabes cuáles. Puedes dejar que Zoho CRM haga una revisión completa por cada módulo utilizando la herramienta de deduplicados.

Tomemos el siguiente ejemplo. En el módulo de Posibles Clientes, haz clic en el símbolo (...) y selecciona Deduplicar Posibles Clientes. Selecciona los registros sobre los que quieres realizar la revisión de duplicados, por ejemplo: nombre de la empresa y cuenta de correo electrónico. Zoho CRM buscará aquellos registros en el módulo Posibles Clientes en los que los valores de los campos nombre de la empresa y cuenta de correo electrónico sean iguales. Automáticamente, CRM encontrará y combinará aquellos campos que sean exactamente iguales. En caso de conflictos, puedes resolverlos de manera manual.

Módulo Posibles Clientes > (...) > Deduplicar Posibles Clientes.

En este caso, la misma cuenta de correo tiene dos números de teléfono asociados, por lo que deberás escoger entre uno de ellos o quedarte ambos.

Y con esto y un bizcocho...¡los registros duplicados han desaparecido!
