Nonprofit Alumni Management

Greetings all,

I am using Zoho to manage a nonprofit and our program applicants and alumni. I am having a hard time trying to setup Zoho to work the way I need it to. I am curious if anyone else has been able to customize Zoho to do this for their organization. What I am seeking to do is take in applicants from a web form that is linked to our website. I then need to create a program (a 5-day retreat) and assign these applicants to their program. Then from there, they move into an "alumni" database but with all past information still associated with their record and still able to assign to other future programs while still keeping the previous data of past participation and communications. I think it is a simple flow model, but I am struggling to find the easiest way to do this. So in short, I want to receive an application from a potential participant in one of our 5-day programs, assign them to a program once approved, they upon completion of a program, move them to our alumni so we can maintain contact and offer additional programs.
