Time and Budget management- advanced lookup

So i have created an app in Zoho.
It currently has 3 FORMS  which are : Timecards, Employee Database, Phase Code Database
The fields are :
1. Date
2. Project Name
3. Employee Name
4. Employee ID ( Should Autopopoulate from Employee Database)

5.Employee Trade ( Should Populate from the Employee Database)
6. Phase Code (dropdown from phase code database)
 
I have gone through many forums but it just seems i am not able to get that simple autopopulate right. please advise on that.

Also my eventual use of this is i want to get number of hours per phase code per project. 
After that i plan to have my project budget spreadsheet inputed into zoho.
What i would like to do is that the TOTAL  number of hours per phase derived from the timecard app should populate automatically under the phase code in the budget.

Can this be done.
