In our continued dedication to serving your workforce, we're proud to unveil the latest updates for Zoho Payroll in May 2024. Building on the momentum of our enhancements in the first quarter, this month's focus has been across regions – India, the UAE, and the US.

Process the Final Settlement of Multiple Employees at Once

Managing final pay checks for departing employees can be a time-consuming process, especially when dealing with multiple team members at once. To eliminate repetitive tasks and simplify this experience, Zoho Payroll now offers an intuitive solution: processing final settlements for multiple employees in a single step.

You have two convenient options available depending on the number of employees you need to process the final settlement for:

1. Import Employee Exit Details

This option allows you to upload a CSV or XLS file containing the exit information.

Pro-tip: You can download the sample file to ensure the file you upload is of the correct format. You can download the sample file by navigating to Employees > Import Data > Import Employee Exit Details and click Proceed.
Refer to the below format to align with Zoho Payroll's specifications for a smooth import process.

Once you upload the file and map the fields successfully, a bulk-full-and-final settlement payroll will be created which will include all the employees mentioned in the import file.

2. Adding Employees Manually to the Bulk Final Settlement Payroll

For smaller groups or specific cases, you can initiate the exit process for each employee individually. While entering their exit details, be sure to select Pay as per pay schedule as the final settlement preference.

This preference ensures that a common-full-and-final settlement payroll is created for all the exited employeesprovided their last working day falls within the same pay schedule.

Calculate Earnings with Unit-Based Custom Formulas

Zoho Payroll enhances the Earnings component with Unit-Based Custom Formulas. This feature provides you with greater flexibility in calculating the earnings of employees, catering to scenarios beyond standard hourly or daily rates.


What are Unit-Based Custom Formulas?

Imagine calculating commissions based on units sold, bonuses tied to specific achievements, or allowances for unique job functions; Unit-Based Custom Formulas allow you to define units as a relevant input variable in your custom formula, enabling you to meet your unique business requirements.


You can calculate earnings with unit-based custom formulas by navigating to Settings > Salary Components. Next, select Custom Formula as the calculation type and select Number of Units as the component.



Remind Employees About Expiring Documents

Zoho Payroll simplifies document management with automatic expiry reminders. This feature monitors employee document expiration dates and sends a timely notification on the date of expiry, ensuring you can collect renewals or take action before deadlines.

Note: This feature is only available in the Standard Plan of Zoho Payroll. You can upgrade to the Professional Plan to send multiple reminders (can be customised) prior to the date of document expiry.



Notable Enhancements for the UAE Region

  • Gratuity Liability Report by Day: Generate detailed reports customizable to any date, offering crucial insights into gratuity liabilities, including the latest basic pay, years in service, and gratuity amount for exited employees.
  • Consider Unpaid Leaves for Gratuity Calculation: For expats with over a year of service, calculate gratuity amount by taking unpaid leave days into consideration.
  • Export Employee Basic Details with Confirmation Dates: We now added a new column called Date of Confirmation which contains the confirmation date of employees.
