4 conseils pour une migration transparente des e-mails

À mesure qu'une organisation se développe, le besoin d'un service de messagerie capable d'améliorer la communication et la collaboration devient vital. C'est pourquoi certaines entreprises passent d'un service mail à un autre. Toutefois, compte tenu des risques de perte de données, de failles de sécurité, d'atteinte à la réputation et d'interruption de service, la migration peut s'avérer une tâche ardue.

Selon une étude d'Adobe, un employé consacre 4,5 heures par jour à ses e-mails professionnels. Ainsi aucune entreprise ne peut se permettre de voir son service de messagerie perturbé par une migration bâclée !




Prenons le cas de M. Kim, un administrateur informatique qui a récemment effectué une migration réussie pour son organisation. Pour lui, la migration a été fluide, car il a effectué une migration test avec quelques utilisateurs, évalué les avantages et les inconvénients, puis décidé de procéder à la migration des e-mails. Examinons de plus près la façon dont M. Kim a effectué sa migration.

Évitez les problèmes en effectuant une migration de test

M. Kim compte un millier d'utilisateurs dans son organisation. Il a donc décidé d'effectuer une migration test pour 10 utilisateurs dans différents services comme les ventes, le support client, le marketing et le développement. De cette façon, il a pu analyser et évaluer la convivialité et la sécurité du processus de migration.

Au lieu de migrer entièrement les 10 utilisateurs, il a choisi de mettre en place une double distribution, dans laquelle les e-mails seront reçus à la fois dans les services de messagerie existants et dans les nouveaux, pour éviter tout échec de livraison des e-mails. Il a ainsi pu comparer les caractéristiques des deux services, comme la délivrabilité et la protection contre le spam ...

Il a également enregistré un nouveau domaine pour héberger le nouveau fournisseur de services de messagerie, ce qui lui a donné l'occasion de l'explorer avec un œil neuf.

Une fois qu'il a été satisfait du service et des fonctionnalités du nouveau fournisseur de services de messagerie, il a décidé de migrer l'ensemble de l'organisation.

Après avoir pris la décision de migrer, quels sont les éléments à prendre en compte pour en assurer le succès ?

Se préparer c'est déjà la moitié du succès

Personne ne veut se retrouver bloqué sur son compte ou ne pas savoir comment naviguer dans une nouvelle messagerie. Pour éviter cela, informez les employés du processus de migration, y compris de leurs nouveaux identifiants, de la date à laquelle il sera terminé et de ce qui sera migré.

Par exemple, M. Kim n'avait pas l'intention de migrer la corbeille, il a donc informé tous les employés à l'avance, partagé les identifiants de connexion avant la migration et pris contact avec eux en cas de problème. Il les a également préparés au nouvel environnement avec une démonstration.

Décidez des éléments à migrer

Un déménagement est l'occasion de faire le ménage, la migration est le moment idéal pour se débarrasser des anciennes données indésirables et des doublons. Personne ne connaît les données comme le département qui les utilise, c'est pourquoi M. Kim les a inclus dans le processus de décision. Il a également fait une sauvegarde de toutes les informations importantes et sensibles qu'il ne voulait pas perdre. 

Visez une perturbation minimale

Essayez de planifier votre migration les jours où l'utilisation est minimale. M. Kim a planifié la migration de ses e-mails pendant le week-end, afin de minimiser toute perturbation du travail.



La migration peut donc être effectuée rapidement et efficacement avec les outils, les processus et les conseils appropriés.
