Introducing SecureForms in Zoho Vault

Introducing SecureForms in Zoho Vault

Hey everyone,

Let’s face it—asking someone to send over a password or other sensitive data is rarely straightforward. You wait. You nudge. You follow up once, twice—maybe more. And when the information finally arrives, it shows up in the worst possible place: an email thread, a shared document, or a casual message in your team chat. It’s no surprise that human error remains one of the biggest contributors to data breaches today.

But what if there was a better way? Zoho Vault SecureForms offers a smarter, safer solution. It lets you collect confidential information through encrypted forms that feed directly into your Zoho Vault, eliminating drama, loose ends, and security blind spots.

What is Zoho Vault SecureForms?

Zoho Vault SecureForms allows you to securely gather confidential information from anyone, whether they're within your organization or external collaborators. Imagine an educational institution safely collecting passwords from students – that's the power of SecureForms. Once submitted, this data can be directly imported into your Zoho Vault account for secure storage. The best part? All information submitted through SecureForms is encrypted to ensure maximum security and privacy.

How secure is your data with SecureForms?

Your data submitted through Zoho Vault SecureForms is as secure as if you added it directly to your vault. Here's a quick look at the robust security behind it:
  1. An encryption key is generated on the client-side (outside the user interface) using our algorithms. This key encrypts your submitted data.
  2. The key is then encrypted with the recipient's public key, which is embedded in the form's URL, and securely transmitted via API.
  3. When the form owner logs into their vault, they use their private key to decrypt the encryption key and access the submitted information.
This multi-layered encryption ensures your data remains confidential and protected.

Collect data securely in five simple steps

  1. Create your custom SecureForm right within Zoho Vault. Tailor the form type, submission limits, and validity periods to match your exact requirements.
  2. Distribute the form link directly to your recipients. You can use email, your preferred communication channel, or even embed it on your website.
  3. Recipients securely access the form by verifying their identity. This often involves their email and a one-time password (OTP), adding an extra layer of security.
  4. Recipients fill in and submit their passwords and other confidential details, confident that their information is protected.
  5. As the form owner, you review the submitted data and, with a single click, import it directly into your Zoho Vault for secure, centralized storage.
Tired of the endless back-and-forth when trying to collect sensitive information? Zoho Vault SecureForms puts an end to that chase, making secure data collection simple and straightforward.
