Managing applications often involves cleaning up duplicate entries, removing outdated records, or deleting applications that are no longer relevant. But what happens when an application is deleted by mistake?
To give you better control over your recruitment data, we've introduced Recycle Bin support for the Applications module. Deleted applications, along with their associated Notes and Attachments, can now be recovered from the Recycle Bin.
What's new?
1. Recover deleted applications from the Recycle Bin
When you delete an Application record, it is now moved to the Recycle Bin, along with its associated Notes and Attachments.
This gives you a way to recover accidentally deleted applications instead of losing the information permanently.
For example:
- Say you're cleaning up applications for a Software Developer position and accidentally delete an application submitted by John Miller.
- With this update, you can find the deleted application in the Recycle Bin and restore it, along with its associated Notes and Attachments.
2. Understand what happens to related records
An application can have several records associated with it, including Submissions, Interviews, Reviews, and Offers. To maintain consistency across your hiring process, deleting an application also triggers the following actions:
Impacted record
| What happens when an application is deleted
|
Notes and Attachments
| Moved to the Recycle Bin along with the application
|
Submissions
| Associated submissions are archived
|
Interviews
| Scheduled interviews are cancelled
|
Reviews
| Pending reviews are deleted
|
Offers
| Associated offers are withdrawn
|
Consider an application for a Marketing Manager position with the following activities:
- The candidate has been submitted to a hiring manager.
- An interview is scheduled for next week.
- An interviewer has a review pending.
- An offer has been extended to the candidate.
If you delete this application:
- The Application record and its Notes and Attachments are moved to the Recycle Bin.
- The submission is archived.
- The scheduled interview is cancelled.
- The pending review is deleted.
- The offer is withdrawn.
This ensures that activities associated with a deleted application do not remain active in your hiring process.
3. Notes in other modules remain unaffected
Deleting an application only moves Notes and Attachments associated with that particular Application record to the Recycle Bin.
Notes belonging to other modules, such as Candidates and Job Openings, remain unaffected.
Suppose John Miller has:
- A note in his Candidate record about his preferred work location.
- A note in his Application record containing feedback from an initial screening.
- A note in the Job Opening record about the hiring manager's requirements.
When John's application is deleted, only the note associated with that application is moved to the Recycle Bin. The notes in John's Candidate record and the Job Opening record remain unchanged.
This helps preserve information that may still be relevant to other applications or recruitment activities.
A small but important change
As part of this update, the Unassociate Application option has been renamed to Delete. This change makes the action and its consequences clearer, especially since deleting an application now affects its associated records and activities. When you select Delete, the application is moved to the Recycle Bin.
In summary, this update helps you:
- Recover deleted applications: Retrieve applications and their associated Notes and Attachments when needed.
- Reduce accidental data loss: Avoid permanently losing application information due to an unintended deletion.
- Maintain accurate hiring records: Ensure that related activities are handled when an application is deleted.
- Manage applications better: Clean up outdated or duplicate applications while retaining a recovery option.
Deleting an application shouldn't mean losing valuable recruitment information without a way to recover it. With Recycle Bin support, you now have greater control over deleted applications while keeping your hiring records organized and consistent.
