Email Alias: To keep emails flowing without disruption

Email Alias acts like a nickname for a user’s primary email address, allowing multiple email addresses to deliver messages into the same mailbox.


Consider the scenario where an employee manages multiple responsibilities, such as responding to sales inquiries, coordinating with partners, and handling internal communications. Maintaining separate mailboxes for each role can be inefficient and difficult to manage. Switching between multiple accounts increases the risk of missed emails, delayed responses, and inconsistent communication. 

The user faces the below challenges:
  1. Sales communication needs the mailbox address as sales@yourorg.com to handle customer queries and maintain a professional presence.
  2. Partner relations requires partners@yourorg.com to collaborate vendor negotiations and business development.
  3. Internal coordination needs user@yourorg.com for day-to-day communication.
Instead of maintaining separate mailboxes for each role, the administrator can configure email aliases for the user’s primary mailbox, which simplifies email management while ensuring that messages sent to all role-specific addresses reach the same inbox. 

This administrative approach consolidates all incoming emails into a single, unified location while preserving distinct professional identities for context-specific email communication.

Additional scenarios where Email Alias can be useful

Simplify user offboarding
When a role-based employee leaves or is unavailable long-term, admins can add an alias to their active mailbox, so that incoming emails are still received and handled with no extra mailbox or additional license.

Minimize spam and reduce risk
Admins can prefer to use specific aliases for online forms, forums, or downloads so that if an alias starts receiving spam, it can be deleted or filtered without affecting your main account. You can also assign unique aliases for different services (for example, bank@org.com or social@org.com). If one service is compromised, attackers cannot easily identify your primary email address or access your other accounts.
