How to let club members update their own profile data
Our club has about 200 members. We keep names, addresses, phones, emails, payment records, etc. for each, recently migrated to Creator. Once a year I send email to each member to confirm or correct their info on file with us, as well as ask for payment if renewal is due. In previous years I used a mail merge in Outlook to send plain text email to each member with a lot of instructions about how to send back corrections so I could recognize what they wanted. I could do this easily with Deluge and sendmail, either building all the fields into the message text or attaching a PDF. I do not need to automate the corrections - there aren't very many each year. I only need to automate generating and sending the 200 requests.
Is there a straghtforward way to improve upon this without making it so complex only a programmer could understand it? We're a car club and only a couple of us have IT skills. We need a novice to be able to take over from me should the situation arise. Note that members are not Zoho users. Only volunteers that run the club have Zoho licenses. Either the email has to be self-contained or any online access by each member would need to be authenticated by emailed OTP. Licensing users for portal access is beyond our budget and overkill for this one use.
