Managing user mailbox actions

Managing user mailbox actions

An organization often has users with different roles and responsibilities, such as leadership, operations, or support teams. While some users may require full access to email features, others may only need limited functionality.

For example, enabling services such as POP, IMAP, or ActiveSync for all users may introduce unnecessary security risks, while restricting incoming and outgoing mail or spam and quarantine checks for everyone could disrupt teams that depend on these services for their day-to-day communication.

Administrators must ensure the right balance between accessibility, security, and operational control.

However, managing service access for users can present several challenges:

  • Not all users require access to every email service or protocol.

  • Enabling unnecessary services may increase potential security risks.

  • Restricting services for all users may affect productivity for certain roles.

  • Manually managing access settings for individual users can increase administrative effort.

To address these situations, Mailbox Actions in the Zoho Mail Admin Console allow administrators to control the availability of specific email services for individual users based on their roles and requirements.

What are Mailbox Actions?

Mailbox Actions allow admins to enable or disable specific services for users in Zoho Mail based on user roles, access requirements, or organizational policies.

Using Mailbox Actions, admins can control services such as:

  • Incoming and outgoing emails

  • Spam and quarantine checks

  • POP and IMAP access

  • ActiveSync access

This flexibility ensures that users have access only to the services they need, while maintaining better control over security, compliance, and overall email operations.

Why use Mailbox Actions?

Control service access for users

Admins can enable or disable services such as incoming and outgoing mail, POP, IMAP, and ActiveSync for individual users. This ensures users only have access to the services required for their role.

Maintain security and operational control

Restricting unnecessary protocols or services helps reduce potential security risks while maintaining better control over email usage within the organization.

Support flexible user management

By configuring services at the user level, administrators can adapt email access based on operational needs without affecting other users.

Steps to configure Mailbox Settings from Zoho Mail Admin Console

  1. Log in to Zoho Mail Admin Console.

  2. Navigate to Users in the left pane, and click on the user you want to disable/enable an email service.

  3. Select Mailbox Settings on the left pane and select Mailbox Actions.

  4. You can toggle the switch next to the feature to enable or disable the respective service.

Note:

All the Mailbox Actions mentioned will affect only the particular user that you have selected.
