CRM Hack #5 : Re-assign records of one sales person to another without actually transferring the records!

It's hack day again!

 

 

When was the last time one of your sales rep quit? Happens all the time, right? And how did you get all the records handled by this rep transferred to another new sales rep? I'm guessing you went about transferring them methodically. What if I tell you that there is a simple yet quick hack that lets you just replace the owner of those records from the earlier sales rep to the new one? No need to take the long route when a safe short cut is available right? Now let me show you how to do this!

 

Typically, when a sales person quits, you deactivate their account, add the new sales person replacing the earlier one. We know that sales people have a lot of records assigned and there are bound to be several follow-ups marked for a later date. You mass-transfer these to the new rep module-by-module. You must also ensure there is no data loss during transfer, as in not missing out on some records that need transferring.

 

The following hack is not only an r easier and effective solution, but also hugely cuts down the time you spend on this task. Here are the steps:

 

 

 

  1. Go to accounts.zoho.com and login as the sales rep who is about to be replaced with the new rep. 
  2. Go to My profile info --> Email address --> Primary email address--> Edit --> Replace the existing email address with the email address of the new sales rep..
  3. Enter the password so  an email invite is sent to the new user's registered email address you just added. Get your new sales person to click on  the invite link and authenticate it.

 

This automatically transfers the earlier sales person's records to the new rep just like that! 

I would like to add a note though. This hack is only for transferring records to a new user(sales rep) who does not have an account in Zoho CRM yet. Zoho allows only one account for an email address.

Please note that while changing the email address in accounts.zoho.com it changes the email address across all Zoho products that the user had and it is not only restricted for Zoho CRM.
