Invite Multiple Guests for Appointments

Certain bookings require multiple participants to attend, such as couple's therapy sessions that involve two attendees. These types of bookings cannot be accommodated through a group booking, but rather through a one-on-one booking option that allows for multiple participants.

 

Using the Guest Invite feature, customers can invite additional participants (guests) to attend an appointment with them. A maximum of up to ten guests can be invited for an appointment. Email notifications, reminders, and Calendar/Online Meeting invites will be sent to all the guests added.

Enable Guest Invite 

To enable inviting the guest:

  1. Select Services from the menu bar.

  1. Select the required service from the left side pane.

  1. Click Service Booking Form in the middle pane.

  2. You can see the Invite guest field which is disabled by default. Hover over the field and click the eye icon to enable the Invite guest field. 



  3. To edit the field label name, click the edit icon , enter the required label name, and click Save



          Note: A maximum of ten guests can be added for an appointment through this field.

 


Guest Invite on the Booking Page 

In the Booking page, additional guest emails can be added in the Invite guest field. 



All guests will receive email notifications and calendar/online meeting invites. Guests will receive all notifications and reminders just like the customer.



The staff can view guest emails in the appointment summary under the Additional info section.


 
Note: To ensure data privacy, guest email addresses can be deleted from Bookings. This can be done by navigating Settings > General > Privacy & Security > Data Deletion.



Limitations

  1. Please note that Zoho CRM Free and Enterprise trial plan supports only ten participants for its calendar invite. When customer adds ten guests for an appointment, the customer and nine guest will receive calendar invite. But the tenth guest will not be included in the calendar invite, rather they will be added in the description section of the calendar invite. You can consider upgrading your Zoho CRM plan to overcome this constraint.
  2. Write to us at support@zohobookings.com if you perform any of the following in Zoho CRM, so that we can enable the tenth guest addition to the Zoho CRM calendar invite. 
    1. if you upgrade your Zoho CRM plan.
    2. If you upgrade your Zoho CRM plan after downgrading.
