How to make your emails land in Outlook's Focused Inbox

Microsoft Outlook’s Focused Inbox feature helps its users categorize their inbox based on interest, splitting mail into a Focused tab and an Other tab. It’s similar to Gmail's Primary tab. Emails landing in the Focused Inbox are considered safe by spam filters, and future emails from the sender are less likely to be filtered out. Focused Inbox is still Microsoft’s current model — it works in classic Outlook, the new Outlook for Windows, and Outlook on the web — but placement is decided entirely by the recipient’s app and their own actions, so you can’t force it. The reliable way in is to send mail people want, authenticate your domain, and let recipients mark you as Focused.

Notes
Notes:
  1. Focused Inbox uses machine learning: Outlook automatically keeps frequently opened senders in the Focused Inbox, so recipients who regularly open your emails will continue to see them there.
  2. Ask your contacts to move your emails to the Focused Inbox if they land in the Other tab — this teaches Outlook to route your future emails there.
  3. You cannot control Focused Inbox placement from the sending side, and some recipients turn the Focused/Other split off entirely. Treat the tips below as ways to earn placement, not guarantee it.

How to move emails from the Other inbox to the Focused inbox

If your emails land in the Other tab, your contacts can move them to Focused with the right-click method. The exact wording depends on their Outlook version; the steps below follow Microsoft's current guidance.

New Outlook for Windows and Outlook on the web

  1. From the Other tab, right-click the message you want to move.
  2. Select Move > Move to Focused inbox to move only the selected message.
  3. Select Move > Always move to Focused inbox if you want all future messages from that sender delivered to the Focused tab.

Classic Outlook

  1. From the Other tab, right-click the message you want to move.
  2. Choose Move to Focused inbox to move only the selected message, or Always move to Focused inbox to route all future messages from that sender to the Focused tab.
NotesNote: Focused Inbox doesn’t work with shared mailboxes — this is by design, so the move options won’t take effect for a recipient using one.

How to reliably earn Focused Inbox placement

Because Focused Inbox is driven by machine learning and recipient engagement, the durable way to land there is to be a sender Outlook already trusts. Authenticate your domain with SPF, DKIM, and DMARC — Microsoft has required these for bulk senders to Outlook, Hotmail, and Live.com since May 2025 — keep your spam-complaint rate low, send content your subscribers actually open, and encourage recipients to add you to their contacts. Mail that isn’t authenticated is filtered or rejected before Focused Inbox placement is even considered.
