How do I schedule a call?

To schedule a call
  1. Go to the calls module on the CRM home page.
  2. Click on Create Call.
  3. Select Schedule a call option.
  4. On the Schedule a Call page fill in the required details.
  5. Click Schedule.

You call has been successfully scheduled. 

How do I delete a scheduled call?

You can delete a scheduled call from the Calls details page from the Calls module.
 

To delete a scheduled call

  1. Go to the Calls module.

  2. Click the All Calls dropdown.

  3. Choose Scheduled Calls.

  4. Click on the call you want to cancel.

  5. Click the ellipsis icon and then click Cancel Call.


How do I set a call reminder for a scheduled call?

You can set a call reminder while scheduling a call to notify you 5 mins, 10 mins, 15 mins, 30 mins, or 1 hour before a scheduled call.
  1. Go to the Calls module.
  2. Select Schedule a call.
  3. Enter the necessary details.
  4. Select the reminder time from the Reminder dropdown.
  5. Click Schedule .
  You can also edit a scheduled call to set the reminder.
  1. Go to the Calls module.
  2. Click the edit icon for the desired call.

  3. Select the time from the Reminder dropdown.
  4. Click Schedule .

I am getting an overlap alert when I try to create a new call. What does this mean?

Zoho CRM lets you create as many calls and meetings as you want. The default call duration is 15 minutes and the default meeting duration is 1 hour. If you schedule a call at 5:00 pm and another call at 5:10 pm, then you will get an overlap alert, because there is an overlap on the calendar between the calls.You can proceed to schedule the call or meeting, despite the alert.

You can also change the default duration of a call or a meeting at any time.
Navigate to Calendar > Options > Preferences to change the duration.

Can I add new prospects from incoming call pop-ups?

Yes, if you've integrated your telephone provider with your Zoho CRM account, the calls you make or receive will have contextual business information. This allows you to view relevant details about the lead or contact before answering or making the call.

However, if someone who isn't in your CRM database calls you, you'll see an incoming call pop-up displaying an unknown number. You can add these new prospects as leads or contacts from the call window without interrupting your conversation.

All you need to do is click the (+) icon next to the caller's number in the pop-up when you answer a call from an unknown number. Then, choose to add them as a new or existing lead or contact.



This is especially useful when a prospect shares their business details and requirements during the call, and you need to capture the information immediately. Instead of switching screens or taking notes to enter later, you can create the record on the spot and keep your sales process moving efficiently.
